Information We Collect

Contact Forms

When you submit a contact form on our website, PathWise IT collects personal data you provide (such as name, email address, phone number, company, and message). These forms are powered by WordPress, Kadence WP, and HubSpot, which helps us store and process this data on our behalf to respond to inquiries, send requested information, and manage communications.

We share this collected contact information with HubSpot as a service provider under contract. HubSpot may process this data in accordance with its own privacy policy.

Interactive Assessment Tools

When you complete an interactive assessment tool on our website, such as our IT Cost Discovery Assessment, we collect the information you provide including your responses to assessment questions, contact details (name, email address, phone number, and company name), and general information about your organization’s technology environment.

This information is used to:

  • Generate your personalized assessment results
  • Contact you regarding your results and follow up on your inquiry
  • Create and manage your record in our customer relationship management system (HubSpot)
  • Improve our services and assessment tools

Assessment data is shared with HubSpot as a service provider under contract, in accordance with our Data Processing Agreement outlined below. We do not use your assessment responses for any purpose beyond those listed above, and we do not sell this information to third parties.

Akismet Anti-Spam

We collect information about visitors who comment on sites that use our Akismet Anti-spam service. The information collected depends on how the site is configured, but typically includes:

  • Commenter’s IP address
  • User agent
  • Referrer
  • Site URL
  • Name, username, email address, and comment content (as provided by the commenter)

Media

If you upload images to the website, avoid embedding location data (EXIF GPS). Visitors may extract location data from uploaded images.

Cookies

We use cookies for:

  • Temporary login page cookies (discarded on browser close)
  • Login and screen preference cookies (2 days to 1 year)
  • “Remember Me” login persistence (2 weeks)
  • Article editing cookies (1-day duration)

Embedded Content

Articles may include embedded content (e.g., videos, images, articles). These behave as if you visited the source site directly. Such sites may:

Analytics

We use Google Analytics 4 to understand how visitors find and use this website. It sets cookies that record a randomly generated identifier, the pages you view, and approximate location derived from your IP address. We use this to see which pages are useful and where visitors arrive from, not to identify you personally. Google’s tag also sets a cookie used to measure whether a visit followed an advertisement. We do not run advertising campaigns, and we do not use this data for targeted advertising or profiling.

Form Protection

Our forms are protected by Google reCAPTCHA, which analyses interaction with the form to distinguish people from automated submissions. Google’s privacy policy and terms apply to that processing.

Site Statistics

This site runs on WordPress.com, which includes Jetpack. Jetpack records basic visit statistics and sets a cookie as part of that. This data is processed by Automattic, the operator of WordPress.com.

Content Delivery and Security

This website is served through Cloudflare, which routes requests, filters malicious traffic, and caches content. Cloudflare processes IP addresses and request metadata for these purposes.

Reviews Display

Our customer reviews are displayed using Trustindex, which loads content from its own servers. Loading that content shares your IP address with Trustindex.

How We Use Your Data

We use your data to:

  • Operate and maintain our website
  • Respond to inquiries and comments
  • Detect and prevent spam and abuse
  • Improve user experience and site functionality
  • Respond to your inquiries
  • Communicate information you request
  • Provide updates and information relevant to our products and services
  • Manage and improve our communications with you

By providing your email address, you consent to receive communications from PathWise IT. You may opt out of marketing or promotional emails at any time by clicking “unsubscribe” in the email or contacting us directly

Who We Share Your Data With

We do not sell personal data. We may share data with service providers for operational purposes (e.g., hosting, analytics, spam detection), under contractual obligations to protect your data.

The service providers we currently use are:

  • Automattic, which operates WordPress.com and Jetpack, for hosting and site statistics
  • Google, for website analytics and form protection through reCAPTCHA
  • Cloudflare, for content delivery, caching, and protection against malicious traffic
  • HubSpot, for managing inquiries and assessment records
  • Automattic, for spam filtering through Akismet
  • Trustindex, for displaying customer reviews

If you request a password reset, your IP address will be included in the reset email.

We use third-party service providers to help us manage and process personal information, including HubSpot, which is used to collect, store and manage contact information submitted through our forms and communications. HubSpot processes this data on our behalf in accordance with its privacy and security practices.

Data Processing Agreement (DPA)

We have a contract with HubSpot that governs their processing of personal data on our behalf, including security and confidentiality obligations.

Data Retention

Contact form submissions and assessment responses are kept in our website records, in our email system, and in HubSpot, for as long as we need them to answer your inquiry and to keep a record of our correspondence with you.

This site does not accept public comments and does not offer visitor account registration. The only account on this site belongs to PathWise IT.

Analytics and site statistics are held by Google and Automattic under their own retention schedules, which we do not control.

Your Choices

You can ask us what personal data we hold about you, request a copy of it, ask us to correct it, or ask us to delete it. You can also ask us to stop sending you communications at any time.

Email [email protected] and tell us what you would like. We will confirm your request and let you know what we have done. If a legal or security obligation prevents us from deleting something, we will tell you that as well.

Some information cannot be traced back to you. Our analytics and site statistics record a randomly generated identifier rather than your name, so we have no way to find or remove the records belonging to any one person. Reviews displayed on this site are hosted by Google and can only be changed or removed by the person who wrote them.

Sensitive Data

We do not knowingly collect or process sensitive personal data (e.g., health, biometric, or precise geolocation data) without your explicit consent.

Children’s Privacy

Our services are not directed to children under 13. We do not knowingly collect personal data from children.

Data Transfers

Visitor comments may be checked through automated spam detection services. Data may be processed in the United States or other jurisdictions with appropriate safeguards.

Security

We implement reasonable administrative, technical, and physical safeguards to protect your data. However, no method of transmission or storage is 100% secure.
