Onboarding & Getting Started
New customer setup, admin configuration steps, app installation, and first-day guides for users and administrators.
PathWise IT handles the initial account build for you, but here’s the full sequence so you understand what’s been configured and what you control going forward:
- Create Locations: Add all office locations (HostPilot > Elevate > Locations). Each location has its own E911 address, time zone, and area code settings.
- Add or port phone numbers: New local or toll-free numbers can be added immediately. Porting existing numbers from your prior carrier takes 2 to 4 weeks (see Number Porting section).
- Purchase Elevate subscriptions: Licenses are assigned per user. Contact PathWise IT to adjust seat counts.
- Create and activate users: HostPilot > Elevate > Users. Each user needs a phone number assigned to become active.
- Order or add hardware: Desk phones are pre-configured and ship ready to plug in. Existing phones may be added via Enhanced BYOP.
- Set up your Auto Attendant: Configure your main greeting, business hours, holiday routing, and menu options. PathWise IT builds this with you during onboarding.
- Create Hunt Groups: Route incoming calls to teams (Sales, Support, etc.). Choose Basic or Advanced Hunt Groups based on reporting needs.
- Configure Call Recording: Enable per-user or account-wide via HostPilot > Elevate > Users > [User] > Call Recording tab.
- Set up Paging Groups (if needed), Dial extension 9100 to page all devices; create additional groups for specific areas.
- Create Resources & Utilities: Virtual Extensions, Web Fax, Resource Accounts, Voicemail Boxes as needed.
- Configure voicemail options and greetings per user
- Set up Call Forwarding profiles for users who need them
- Review E911 addresses for all users and devices
- Set up 911 Call Notifications (Kari’s Law), designate who receives an alert when 911 is dialed
- Enable Music on Hold and upload custom tracks if desired
- Log in to HostPilot > Services > Elevate > Users
- Click Add user and fill in name, email, and extension
- Assign an Elevate subscription license
- Click Assign phone number and select an available number, a user must have a phone number to be active
- Assign a device (desk phone or confirm they will use the softphone app)
Allow 30 to 60 minutes propagation time after assigning a phone number before it’s fully active.
- Extension: internal dialing number
- Phone Number: external DID; required for activation
- Call timeout: seconds before calls route to voicemail
- Location: determines E911 address and time zone
Also available per user: Caller ID tab, Call Forwarding tab, Call Recording tab, Voicemail tab, Devices tab.
When a user’s Elevate service is disabled or their account deleted:
- All their phone numbers are released back to the account number pool
- Their devices are unassigned and become available for reassignment
- They are removed from all Hunt Groups and Auto Attendants
- Cancel their subscription separately to stop billing
Each user should have no more than 5 devices assigned, including the Elevate Desktop app and Mobile app. Exceeding 5 devices causes registration failures and call issues.
The Elevate desktop app turns your computer into a full-featured softphone with calling, voicemail, chat, meetings, and file sharing.
- Platforms: Windows 10+ and macOS Monterey+
- Download: PathWise IT will provide a download link, or download directly from your Elevate account portal
- Sign in: Use the username and password provided by PathWise IT (or your Azure AD credentials if SSO is enabled)
Key features: Calling (Computer mode softphone or Deskphone mode), voicemail, call history, chat with channels, SMS, online meetings with screen sharing, contact directory, and CRM integration (if enabled).
The mobile app extends your Elevate phone to your smartphone, same number, same voicemail, same contacts.
- iOS: Search “Intermedia Elevate” in the Apple App Store
- Android: Search “Intermedia Elevate” in Google Play Store
- Sign in: Same credentials as the desktop app
- Smartwatches: Not supported
After installing, grant all requested permissions (Contacts, Microphone, Notifications, Background App Refresh), missing permissions cause missed calls and notification failures. See the Mobile App, Advanced section for battery optimization steps.

Switch modes in the Elevate app: click the phone icon near your name > toggle Computer/Deskphone. Your desk phone and computer app always share the same extension, both ring simultaneously for inbound calls regardless of mode.
When you first open the Elevate app, it will prompt you to enter your emergency address. This is where 911 will send help if you call from the app. Do not skip this step. If you work remotely or travel, update your address whenever you change locations: Profile Settings > Edit emergency service address.
Set a professional greeting so callers know they’ve reached the right person. Default greetings say “the mailbox of [extension number]”, not great for business.
- Desktop app: Click your profile picture > Settings > Voicemail > Change greeting
- Mobile app: Settings > Call Settings > Voicemail > Change greeting
- Desk phone: Press the Messages button and follow the prompts
- Dial *98 from any Elevate phone and follow the audio menu
Your default PIN is your extension number followed by a zero (e.g., extension 105 → default PIN is 1050). Change it to something secure. Do this in the app under Settings > Voicemail > Change PIN, or by dialing *98 and following the menu.
Click your profile picture in the Elevate app and confirm your status shows Available (green). If it shows Offline or Busy, teammates and the system won’t route calls to you correctly. The app sets you to Available automatically when it’s open, but check after logging in for the first time.
Call a coworker’s extension to confirm two things: (1) you can make calls, and (2) your audio sounds clear on both ends. If you have a desk phone, test that it rings when someone calls your number. If anything doesn’t work, contact PathWise IT at (541) 799-0734.

HostPilot (also called Control Panel) is the Intermedia web portal where administrators manage your entire Elevate account. Access it at cp.serverdata.net with your administrator credentials. It is separate from the Elevate desktop app, end users don’t log in here.

HostPilot supports multiple admin roles with different access levels. The Technical Administrator role with Elevate sub-role has full access to all Elevate settings including reports. The Security Manager role is required for SSO and Azure integration setup. Contact PathWise IT to adjust admin roles for your team.

Elevate gives you four different apps to choose from depending on your device, workflow, and organization setup. You don’t have to pick just one, many people use the desktop app at their desk and the mobile app when away.

The Elevate Web App is a browser-based version of Elevate that lets you make calls, chat, send SMS, join meetings, and manage your communications without installing any software. It’s especially useful on shared workstations, Chromebooks, or computers where you don’t have permission to install applications.
Access URL: https://elevate.serverdata.net
Login: Your Elevate email address and password, the same credentials you use for the Elevate desktop and mobile apps. If your organization uses Azure SSO, you can sign in with your Microsoft credentials.

The first time you use the web app, Chrome or Edge will ask for permission to use your microphone and play sound. You must allow both for calls and notifications to work.
If you missed the permission prompt or calls have no audio:
- Chrome: Go to Settings > Privacy and Security > Site Settings > find elevate.serverdata.net > set Microphone and Sound to Allow
- Edge (for 3-way calls): Go to edge://settings/content/mediaAutoplay > change Default from Limit to Allow

- Sessions expire after 24 hours: you’ll be automatically logged out and need to sign back in. If you need to stay logged in continuously, use the Desktop or Mobile app instead.
- Away status activates when you switch browser tabs: on the Desktop App, Away only activates after 3 minutes of no mouse/keyboard activity. On the web app, simply clicking to another tab triggers it.
- Notifications stop when the browser is closed: if you close Chrome or Edge entirely, you won’t receive incoming call rings or message notifications.
- Don’t open it in multiple tabs: having the web app open in two or more browser tabs causes duplicate ring tones and duplicate message notifications. Keep only one tab open at a time.
The Calling section (phone icon in the left rail) opens a contacts directory by default, the dialpad is hidden. To open it, click the 9-dot grid icon in the top right corner of the contacts panel. This toggles the dialpad panel on the right side of the screen.
Once open, type a number into the “Phone number” field or click the dial keys, then press the green call button.

The “+” tab at the end of the contact tabs opens a “Create group” modal. This creates a contact group (a way to organize contacts), not a phone ring group or Hunt Group. Ring groups are configured by PathWise IT in HostPilot.
Hover over any contact in the list and a call button appears. Clicking it dials using your currently selected calling device (computer softphone or desk phone). You can also click a contact to open their profile and call from there.
The Call History section (clock icon in the left rail) has three tabs:

The number shown on the Call History icon (e.g., “14”) represents your unread missed calls: not messages, not alerts. It clears when you view the Missed tab. There is no label explaining this in the app, so it’s easy to miss.
Hover over any call row to reveal quick action buttons:

The “Call recordings & recaps” tab shows empty until call recording is enabled. This is an admin setting in HostPilot, users cannot enable it themselves. Contact PathWise IT at (541) 799-0734 to have call recording turned on for your account or specific users.
HostPilot uses two distinct terms that are easy to confuse. Understanding the difference is important for anyone managing the system:

Account Contacts can be assigned specific administrative roles in HostPilot. Common roles include:
- Technical Administrator: full access to configure Elevate services, users, and settings
- Billing Administrator: access to invoices, subscriptions, and payment settings
- Security Manager: manages account-wide security settings including 2FA enforcement
2FA for HostPilot is configured at the Account Contact level, not the Elevate User level. If you see a banner in HostPilot warning that admin 2FA is disabled, this means Account Contacts are not required to use 2FA to log in. PathWise IT recommends enabling this for all accounts.
To enable 2FA: contact PathWise IT or navigate to HostPilot > Account > Security and configure 2FA enforcement under the Security Manager role settings.
Wrap-up time gives agents a buffer after each call ends before the next call routes to them. It can be configured at two levels:

When universal agent wrap-up time is enabled in Settings, it takes precedence over every individual Hunt Group’s own wrap-up setting. This means:
- All agents in all Hunt Groups get the same wrap-up duration after every call
- Individual group wrap-up settings are ignored while the universal setting is active
- Disabling the universal setting restores each group’s own configuration
- Go to HostPilot > Services > Elevate > Settings > Hunt groups.
- Toggle Enable universal agent wrap-up time to on.
- Enter the number of seconds for all agents to wait between calls.
- Click Save. The setting applies immediately across all Advanced Hunt Groups.
Advanced Hunt Groups are premium call queues with agent management, supervisor dashboards, real-time monitoring, and detailed reporting. They are available as an add-on, contact PathWise IT if you’re interested.
Users can be added as Agents (receive calls) or Managers (monitor and manage agents).
- In the Elevate Desktop App, click your avatar (bottom-left) to open Settings.
- Navigate to Agent Settings.
- Find your Advanced Hunt Group in the list and click Log In or Log Out.
You will not receive queue calls while logged out. Log in at the start of your shift and log out when leaving.

After each call ends, the system gives agents a configurable number of seconds before routing the next call, this is wrap-up time. Use it to log notes, update your CRM, or prepare. The duration is set by your admin. If you’re in two Hunt Groups, wrap-up only applies to the group whose call you just finished.
Admins configure these in HostPilot > Elevate > Groups > [Advanced Hunt Group] > General tab.

Managers see an Advanced Hunt Group Monitor icon in their Elevate Desktop App. Click it, then choose your group from the dropdown.
Two tabs are available: Monitoring (live calls and agent statuses) and Reporting (historical data).

You can escalate in order: Monitor → Whisper → Barge. Managers can also log agents in or out from the Agents panel.
The queue contact card in the Elevate app shows live stats with color coding:
- Calls in queue: Green (< ¾ full) / Yellow (≥ ¾ full) / Red (at max capacity)
- Average wait time: Green (under SLA) / Yellow (at SLA) / Red (double SLA)
Configure your SLA target in HostPilot > Elevate > Reports & Analytics > [Hunt Group] > Settings (gear icon).
From the Monitor page, click the Reports icon and choose:
- Launch Reports: opens detailed historical reports in your browser
- Launch Wallboard: opens a real-time display dashboard (shareable link, can be shown on a TV)
Getting Started
Everything you need for Day 1 with your new phone system
PathWise IT will provide your login credentials (username and temporary password) before your start date. If you haven’t received them, email [email protected].
- Install the desktop app. Download the Elevate desktop app using the link provided by PathWise IT. Available for Windows and Mac.
- Install the mobile app. Search “Intermedia Elevate” in the Apple App Store or Google Play. Sign in with the credentials PathWise IT provided.
- Log in and set your E911 address. The app will prompt you to enter your emergency address, this is where 911 will send help if you call from the app. Do not skip this step.
- Record your voicemail greeting. Set up a professional greeting so callers know they’ve reached the right person. See the “How to record my voicemail greeting” article below.
- Change your voicemail PIN. Your default PIN is your extension number followed by a zero (e.g., extension 105 → PIN 1050). Change it to something secure.
- Set your presence to Available. Click your profile picture in the app and confirm your status is set to Available.
- Plug in your desk phone. Connect it to your office network with an Ethernet cable, it configures automatically. Wait 2 to 3 minutes for it to fully register.
- Test a call. Call a coworker’s extension to confirm you can make and receive calls on both the app and desk phone.
- Test from outside. Have someone call your direct number from an outside line to confirm inbound calls reach you.
- Open the Elevate desktop or mobile app
- Click/tap your Profile picture
- Go to Settings → Voicemail
- Click Record greeting and follow the prompts
- Dial * followed by your extension (e.g., *105 if your extension is 105)
- When your current voicemail greeting begins playing, press #
- Enter your extension, then press #
- Enter your voicemail PIN, then press #
- Press 3 for Personal Options
- Press 1 to record your greeting and follow the prompts
Call your own direct number from any phone. When your greeting plays, press # and follow the same prompts as Method 2 above.
- Open the Elevate mobile app
- Tap your Profile picture
- Go to My Account → Voicemail → Greeting
- Tap Record custom greeting
- Tap Tap to record: speak your greeting
- Tap Tap to stop recording: it saves automatically
Maximum greeting length: 60 seconds. The recording saves automatically when the limit is reached.
Note: only one custom greeting can be stored at a time. Recording a new one overwrites the previous. Switching back to the default greeting permanently deletes your custom recording.

The most frequent reason calls go straight to voicemail is that Do Not Disturb (DND) is active: or one of its related statuses: Out sick, On vacation, or Off work.
How to check and fix: Look at your profile picture in the Elevate app, if you see a red “Do Not Disturb” indicator, click it and select Available. One click clears DND on all devices.
Exception: Hunt Group calls STILL ring through DND. If you’re receiving Hunt Group calls but not direct calls, DND is the cause for direct calls only.
- Check Call Forwarding: Open the app > Profile picture > Call Settings > Call Forwarding. Look for any active profile that routes to voicemail.
- Check Hunt Group login status: If you’re supposed to receive group calls, verify you’re logged into the queue. Dial your Hunt Group extension + 1 to log back in (e.g., HG ext 300 → dial 3001). Contact PathWise IT if you don’t know your Hunt Group extension.
- Check phone-level No Answer forwarding: If “No Answer Forward” is set directly on your desk phone, it can override the system settings. Contact PathWise IT to check and disable this.
- iPhone users after a restart: After restarting your iPhone, you must unlock the device at least once before incoming calls work properly. This is an Apple security requirement.
- Cell phone as backup destination: If your cell phone is configured as a call forwarding destination and your cellular voicemail kicks in quickly (e.g., after 10 seconds), it can intercept calls before Elevate rings through. Contact PathWise IT to adjust your forwarding ring time.
Before calling PathWise IT, run the official Elevate network quality test. It checks your bandwidth, voice quality, and firewall configuration and takes about 2 minutes:

- Wi-Fi interference: Try plugging your desk phone or computer directly into your router with an Ethernet cable. If quality improves, Wi-Fi is the cause.
- Other devices using bandwidth: If issues happen only during business hours, other devices (video streaming, large downloads) may be saturating your connection.
- SIP ALG enabled on router: This router setting is the #1 cause of one-way audio and choppy calls on VoIP systems. Contact PathWise IT, we can advise your IT team to disable it.
- VPN interference: Disconnect from your VPN and test. If quality improves, the VPN is routing voice traffic incorrectly.
- Network test results (URL above)
- Exact description, does audio cut out, sound robotic, have echo?
- When it happens, all calls, certain times of day, specific numbers?
- Connection type, Wi-Fi or wired Ethernet?
- Router/modem make and model if known
- Check the Ethernet cable. Physically inspect both ends, the connection at the phone and at the wall/switch. Unplug and firmly reseat both ends. A loose cable is the most common cause.
- Check the Link Light. Look for a small LED light on the Ethernet port on the back of the phone. Any light (even intermittent flashing) means the cable connection is good. No light = cable or port problem.
- Power cycle the phone. Unplug the phone’s power source (either the PoE network cable or the power adapter) for 30 seconds, then plug it back in. Wait 60 to 90 seconds for it to fully restart and register.
- Check power source. Yealink phones can be powered via PoE (through the network cable) or a separate power adapter. Verify the correct power method is in use for your setup.
- Try a different Ethernet port. If possible, plug the cable into a different port on the same network switch to rule out a bad port.
Occasional automatic reboots are normal, they occur during firmware updates pushed by the system. A brief outage of 60 to 90 seconds is expected. If your phone is rebooting repeatedly throughout the day, contact PathWise IT.
- Check your internet connection. Can you load a website? If not, fix your internet connection first.
- Try a cellular hotspot. Connect your computer or phone to a mobile hotspot instead of your office Wi-Fi. If the app connects on hotspot, the issue is with your office network or firewall, not the app.
- Enable TLS in the app. Desktop: Profile picture > Call Settings > Enable TLS toggle. Mobile: App Settings > Call Settings > Enable TLS. This can resolve connectivity on restricted networks.
- Restart the app completely. Desktop: close the app, open Task Manager (Windows) or Force Quit (Mac), end all Elevate processes, then reopen the app. Mobile: fully close and reopen.
- Reinstall the app. Uninstall Elevate, restart your device, and reinstall from your company’s app source or the Elevate download page.
If your office has a managed firewall, the following TCP ports must be fully open for Elevate to function:
- TCP Port 80: required for app communication
- TCP Port 443: must allow ALL traffic, not just HTTPS web browsing
- TCP Port 3478: required for screen sharing in video meetings
Share this list with your IT administrator or PathWise IT if you suspect a firewall is blocking the app.
One-way audio, especially dead silence when you pick up a call, is almost always caused by SIP ALG (Application Layer Gateway) being enabled on your router or firewall. This is a router setting that was designed to help VoIP calls but actually breaks them on modern systems.
Contact PathWise IT and we will advise your IT team or internet provider to disable SIP ALG on your router. This resolves the issue in the vast majority of cases.
- Switch from speakerphone to handset (or vice versa) to rule out a hardware issue with your specific audio output.
- Try a different headset if you’re using one, a failing headset microphone causes one-way audio.
- Switch from Wi-Fi to wired Ethernet: wireless interference can cause audio to drop in one direction.
- Try the call on your mobile app on cellular data, if audio is two-way on cellular, the issue is your office network, not your account.
- Wrong username. Your username is your full work email address (e.g., [email protected]), not just your first name or extension number.
- Wrong password. Click “Forgot your password?” on the login screen. An authorization code will be sent to your alternate email or mobile number. Follow the prompts to reset.
- Account locked. After multiple failed login attempts, your account may be temporarily locked. Contact PathWise IT to unlock it: (541) 799-0734.
- Network issue. Try logging in on a different network (mobile hotspot). If it works there, your office network is blocking the login.
- App issue. Uninstall and reinstall the Elevate app, then try again.
This is a known Apple iOS behavior related to iPhone keychain security policy, it is not a bug with the Elevate app. After restarting or powering on your iPhone, Apple locks the keychain until the device is unlocked by the owner.
Until you unlock your iPhone (with Face ID, Touch ID, or your passcode) at least once after the restart, the Elevate app cannot access its stored credentials and will appear to log out.
After any iPhone restart, unlock your phone using your passcode, Face ID, or Touch ID at least once. You do NOT need to re-enter your Elevate password, simply unlocking the screen is enough for the app to resume normally.
Make it a habit: Any time you restart your iPhone, unlock it fully before expecting to receive Elevate calls.
- Speakerphone in a reflective environment: Hard surfaces (glass, bare walls, desks) bounce audio back into the microphone. Try using a handset or headset instead.
- Speaker volume too high: When volume is high, the speaker output bleeds into the microphone. Reduce speaker volume to a moderate level.
- Defective headset or handset: Try a different headset or use the handset instead. If the echo disappears, your audio device is the problem.
- Echo is on the OTHER person’s end: If you can hear your own voice echoing back, the echo is being generated on the other caller’s device. They need to adjust their audio setup.
Troubleshooting, More Issues
Calls dropping, registration failures, push notifications, chat, contacts, presence, and click-to-call.

- Run the network test: Go to mcs.sea.telecomsvc.com/myspeed/support from a computer on your office network. This tests bandwidth, voice quality, and firewall configuration and generates a report.
- Check SIP ALG: Log into your router and confirm SIP ALG is disabled. This is a common cause of call issues, see the Network & Security section for details.
- Switch to wired: If using Wi-Fi, connect your phone or computer to Ethernet instead.
- On mobile: Try switching from Wi-Fi to cellular data (or vice versa). Also try enabling TLS: tap your profile picture > Call Settings > Enable TLS.
- Try the hotspot test: Connect your computer to your phone’s cellular hotspot. If the issue disappears, the problem is your office network or ISP.
- Exact time and date of the dropped calls (last 24 hours preferred)
- Which phones or devices were affected
- Whether the drops happen all the time or only at certain hours
- Your internet provider, router model, and switch model
- Network test results from the link above
The Elevate app registers with Intermedia’s servers to send and receive calls. Registration failure means this connection couldn’t be established, usually a network, permission, or DNS issue.
- Switch networks: Toggle between Wi-Fi and cellular data. If registration succeeds on one but not the other, the problem is network-specific.
- Disable VPN: VPNs frequently interfere with VoIP registration. Temporarily disable any active VPN and try again.
- Check DNS: Try changing your DNS to Google’s public DNS (8.8.8.8 and 8.8.4.4). Incorrect DNS routing is a common cause of registration failures.
- Restart the app completely: Force-stop the app (don’t just close it) and relaunch. On Android: Settings > Apps > Elevate > Force Stop. On iOS: swipe up on the app to force-close it.
- Check firewall / port access: Ensure your firewall allows traffic on TCP 5060, 5061, and UDP 10000 to 55000. See the Firewall Ports article in Network & Security.
- Re-login: Log out of the app completely and log back in with your credentials.
- Reinstall: Uninstall and reinstall the app as a last resort before contacting support.
If none of the above resolves it, gather logs before contacting PathWise IT:
- Desktop app: Click profile picture > Application Settings > Export logs to file
- Mobile app: My Account > Send Feedback (logs are automatically attached to the draft email)
Include: exact timestamps of the issue, which network you were on, and your device/OS version.
Transcription must be enabled separately for each object in HostPilot:
- User voicemail: HostPilot > Elevate > Users > [User] > Voicemail tab > check Enable Voicemail Transcription AND Send notifications via email AND Include voicemail transcription
- Hunt Group voicemail: Elevate > Groups > [Group] > Voicemail settings
- Company voicemail: Elevate > Settings > Voicemail settings
- Voicemail Box resource: Resources & Utilities > [Voicemail Box] > Voicemail settings
Note: transcription availability depends on the assigned Elevate license type, not all plans include it.
If transcription is enabled but email notifications aren’t arriving:
- Verify the correct email address is set in the Voicemail Notification section for that user/object
- Check your spam/junk folder
- Ask your IT team or email host to whitelist the following domains: this resolves most delivery failures:
- accessline.com
- telecomsvc.com
- [email protected]
- notify.accessline.com
- sea.adxdsn.accessline.com / nyc.adxdsn.accessline.com
- After whitelisting, leave a test voicemail and confirm delivery
To enable SMS voicemail alerts: check Send SMS notification in the voicemail settings and enter the destination number. Notifications come from short code 66746. To stop: text STOP to 66746 from the destination number. To restart: text START.
- Update the app: Always try updating to the latest version before other troubleshooting
- Kill all app tasks: Open Task Manager (Windows) or Activity Monitor (Mac), find all Elevate processes and end them, then relaunch
- Clear the app cache:
- Windows: Quit Elevate > open File Explorer > type
%APPDATA%in the address bar > delete the Elevate folder > relaunch - Mac: Log out and close Elevate > Finder > Go > Go to Folder >
~/Library/Application Support/> delete the Elevate folder > reinstall
- Windows: Quit Elevate > open File Explorer > type
- Reinstall: Uninstall Elevate, then download and install a fresh copy
- Check antivirus / security software: Some antivirus programs prevent the app from writing to the Windows Registry during updates. Temporarily disable security software during reinstallation if the app fails to update
- Try another machine: If the issue only occurs on one computer, it points to a local software conflict rather than an account issue
If the app opens: Click profile picture > Application Settings > Export logs to file
If the app won’t open (Windows logs): Open File Explorer > type %appdata%\Elevate UC\logs in the address bar > collect all files in that folder
If the app won’t open (Mac logs): Finder > Go > Go to Folder > ~Library/Application Support/Elevate UC/logs > collect all files
Include with your logs: app version, OS version, computer type (laptop/desktop), call mode (softphone or deskphone), and exact timestamps of crashes.
The Elevate mobile app uses push notifications to alert you of incoming calls. If your device’s push notification permissions are missing or restricted, calls won’t ring. Note: Apple and Google control push notification delivery, Intermedia cannot guarantee 100% delivery in all conditions.
Go to iOS Settings > Elevate and verify all of these are enabled:
- Contacts
- Microphone
- Background App Refresh
- Mobile Data
- Notifications > Allow Notifications
Go to Settings > Apps > Elevate:
- App Permissions: Contacts, Microphone, Phone, Storage, all enabled
- App Data Usage: Mobile Data, Wi-Fi, Background data, all enabled
- Battery Optimization: Settings > Apps > ⋮ (three dots) > Special access > Optimize battery usage > All > scroll to Elevate > Disable
- Disable “Enable native calls” in Elevate app Settings, this often improves push notification reliability on Android
- Check battery optimization settings (Samsung, Xiaomi, and Motorola users have additional manufacturer-specific settings, see the Mobile App Advanced section)
- Ensure you are running the latest version of the Elevate app
- Log out completely and log back in
Some statuses change automatically; others are manual. Key automatic behaviors:
- Away: set automatically when your computer is locked or idle for 3 minutes
- Offline: set automatically when all your Elevate apps go offline (no active connection)
- On call / In a meeting: set automatically when you’re on a call or in a meeting
- Do Not Disturb, Busy, On break, Out sick, On vacation, Off work: all manual; apply across ALL devices simultaneously (desk phone included)
- Check your internet connection
- Log out of the app completely and log back in
- If the issue persists, export logs (profile picture > Application Settings > Export logs) and contact PathWise IT at (541) 799-0734
If you manually set Do Not Disturb, Out sick, On vacation, or Off work, a notification banner appears at the top of the app with a Turn Off button. Click it to return to Available. These statuses do not auto-clear, you must turn them off manually.
If you’re stuck in Away status and don’t want to be set Away when your computer is idle, you can keep the Elevate mobile app active, your status will then show Available rather than going Offline when the desktop is idle.
You can add a custom message (up to 40 characters) that other users see alongside your status. Click Set your status message in the app. This doesn’t change your actual presence status, it’s just an informational note.
There are two distinct message states, make sure you know which one you’re dealing with:

Supported languages: English (US & UK), German, French, Italian, Japanese, Dutch, Russian. The extension language follows your OS language setting.
- Confirm you’re using a good RJ-45 Ethernet cable, inspect for damage, reseat both ends, swap with a known-good cable.
- Check that the correct ports are being used on both the phone and the switch.
- Power cycle the phone (unplug 30 seconds).
- Check the link light on the phone, even intermittent flashing indicates a connection.
- Confirm there are no VLAN, port security, or PoE settings on your network switch that could be blocking the phone.
Review the complete call flow of your Auto Attendant or Hunt Group, look for inconsistencies in Receptionist Groups, schedules, menu options, timeout destinations, and Events or Call Routing Overrides that may be active.
If calls ring on the wrong user’s phone:
- Check that user’s Call Forwarding profile: look for any active forwarding to unintended extensions.
- Check for Busy Lamp Field (BLF) or Remote Line Keys on the device that’s incorrectly receiving calls.
If your internet or power is out, your Auto Attendant continues routing calls per its current settings until it times out to an extension. If that extension is also offline, calls go to that extension’s voicemail by default.
To reroute all calls during an outage: Log into HostPilot and enable Call Routing Override on your Auto Attendant, forwarding to a cell phone. If your internet is also down, call PathWise IT and we can enable it for you.
Users with Elevate Mobile App and cellular data can continue receiving calls normally during an office internet outage.
Run the network quality test at https://mcs.sea.telecomsvc.com/myspeed/support and share the results with PathWise IT. Look for packet loss above 2%, latency above 250ms, or jitter above 100ms as indicators of network issues.
Contact PathWise IT before and after any move or ISP change. We’ll run a bandwidth test at your new location and update your 911 address to ensure emergency services can locate you correctly.
Power over Ethernet (PoE) lets a network switch deliver both data and electrical power through a single Ethernet cable, no separate power adapter needed. All Yealink phones sold by PathWise IT support PoE.
To use PoE, your network switch must support it. Unmanaged switches without PoE capability will not power phones via Ethernet, you’ll need a power adapter (PSU) in that case.
- Check the power source: Is the phone connected to a PoE switch port, or does it have a power adapter plugged in? Try swapping with a known-working adapter or port.
- Check the Ethernet cable: Inspect for visible damage. Reseat both ends. Try swapping with a known-good cable.
- Check the switch port: Some managed switches have PoE budgets, if too many devices are drawing power, newer devices may not get power. Check your switch’s PoE budget.
- For Yealink phones with a PSU option: Connect a power adapter directly to confirm the phone itself works. If it powers on with a PSU but not PoE, the issue is the switch or port.
- Power cycle: Unplug the phone for 30 seconds, then reconnect.
Yealink phones use 802.3af PoE (standard 15.4W per port). Most unmanaged and managed switches support this by default. If your switch requires manual PoE power class configuration, your IT team will need to set it, PathWise IT cannot configure third-party switch PoE settings remotely.
The most common cause is missing browser permissions. Chrome and Edge must be explicitly allowed to use your microphone and play audio for the web app.
- In Chrome: go to Settings > Privacy and Security > Site Settings. Find elevate.serverdata.net and set both Microphone and Sound to Allow.
- In Edge: same path under Settings > Cookies and site permissions > Microphone / Sound.
- Reload the web app after changing permissions.
The web app requires browser notification permission to ring for incoming calls. Check that notifications are allowed for the site, same path as microphone permissions above. Also confirm you’re using Chrome or Edge; other browsers are not supported.
If the browser is closed entirely, you will not receive any notifications. The web app only works while the browser is open and the tab is active or backgrounded (not closed).
On the web app, your status switches to Away whenever the Elevate tab is not the active tab in your browser, even if you’re actively working in another tab. This is different from the Desktop App, where Away only activates after 3 minutes of no mouse or keyboard activity.
Fix (Chrome): Go to Chrome Settings > Performance and add elevate.serverdata.net to the “Always keep these sites active” list. This prevents Chrome from deprioritizing the tab when you switch away.
If you hear calls ringing twice or see the same message notification appear more than once, you have the Elevate Web App open in more than one browser tab, or you’re running both the web app and the Desktop App at the same time on the same computer.
Fix: Close all duplicate tabs and keep only one Elevate web app tab open. If you’re also running the Desktop App, close the web app tab and use the desktop app only.
The web app session expires after 24 hours and you’ll need to sign back in. This is by design, the desktop and mobile apps don’t have this limitation. If you need to stay continuously logged in without interruption, use the Elevate Desktop App or Mobile App instead.
Clearing browser cookies also logs you out immediately. If you’re using a browser that clears cookies on close, you’ll need to log in every session.
If you’re stuck on the welcome tour and can’t find the Next button, your browser zoom level is too high. Press Ctrl + 0 (Windows) or Cmd + 0 (Mac) to reset zoom to 100%, then try again.
This indicates a connectivity issue between the web app and Intermedia’s servers. Wait a few minutes, check your internet connection, and try again. If the issue persists, contact PathWise IT at (541) 799-0734.
Calling Features
Transfers, call park, pickup, paging, intercom, and more
A warm transfer lets you speak to the recipient before connecting the caller. Use this when you want to introduce the customer or provide context.
- While on an active call, click Transfer in the app
- Search for the contact or type an extension/number
- Click the Warm Transfer icon, the original caller is placed on hold
- Wait for the recipient to answer, then introduce the call
- Click Complete Transfer: you drop off and both parties are connected
To cancel: Click the cancel icon, then Resume to return to the original caller.
A blind transfer connects the caller directly without you speaking to the recipient first. Use for internal transfers where no introduction is needed.
- While on an active call, click Transfer
- Search for the contact or type an extension/number
- Click the Blind Transfer icon, call is transferred immediately
To send a caller directly to a colleague’s voicemail without ringing their phone:
- Click Transfer in the app
- Click the Transfer to Voicemail icon (internal contacts only)
Or via dial code: Press Blind Transfer, then dial * + extension (e.g., *103).
Note: On Yealink phones, press the * key twice to enter the * symbol.

Call Park places a call on hold in a virtual “parking spot”, a numbered extension anyone in the office can dial to pick up the call. Unlike a normal hold, the call doesn’t stay tied to your phone.
- While on an active call, press #7 on your dial pad (or the Park softkey on your desk phone)
- The system announces the park orbit extension number (e.g., “Your call is parked at extension 980”)
- Tell your coworker the orbit number, by intercom, paging, or chat
- Hang up, the caller is safely on hold in the park orbit
- Your coworker dials that orbit extension from any phone to retrieve the call

- Desktop 3-way calling only works in Softphone (Computer) mode: not in Deskphone/Call Controller mode
- If you (the host) leave the call, it ends for everyone: you cannot drop off gracefully
- If you put the 3-way call on hold, the other two parties cannot hear each other: you’re the audio bridge
Intercom lets you instantly open a two-way audio channel to a colleague’s desk phone, their speakerphone activates automatically. No ringing, no answering required.
From any desk phone, dial: *90 + target extension
Example: *90105 intercoms the person at extension 105. Their speakerphone turns on automatically and you can speak immediately.
- Desk phones only: intercom only works on physical desk phones, not the desktop app or mobile app
- DND blocks intercom: if the target is in Do Not Disturb, the intercom acts like a regular call and goes to voicemail instead
- Cannot transfer or forward intercom calls
- Call recording does not work on intercom calls
- Multiple devices: If a user has multiple desk phones, intercom goes to their designated “intercom device” (usually their primary phone). If intercom isn’t working, ask PathWise IT to check the intercom device assignment.
Call Flip lets you hand off an active call from your desk phone to your mobile app (or vice versa) without hanging up or the other party knowing anything happened. The call continues seamlessly on the new device.
- During an active call on your desk phone, press the Call Flip softkey (may be under a “More” menu)
- Your call is placed on brief hold, the other party hears a moment of hold music

Paging sends a one-way audio announcement to all desk phones in a Paging Group simultaneously, like an overhead PA announcement. All phones in the group auto-answer on speaker and broadcast your voice.

- Dial your Paging Group extension (provided by PathWise IT, extensions vary by account)
- All desk phones in the group automatically answer on speaker
- Speak your announcement, everyone in the group hears you immediately
- Hang up when done
While receiving a page, any group member can dial *80 to convert it to a private two-way conversation with the person who initiated the page. All other group members are disconnected.
The Elevate cloud platform has a 99.999% uptime SLA, it stays up. What goes down during an outage is your LOCAL internet or power, which prevents your office phones and apps from connecting to the platform.
- Desk phones: Stop working immediately, they require internet to communicate with the cloud
- Desktop app: Stops working if your internet is down
- Mobile app on Wi-Fi: Also stops working if your internet is down
- Mobile app on cellular (4G/5G): Continues working, this is your primary backup
- Auto Attendant: Stays active and routes calls as configured until its timeout is reached
During any office outage, switch to the Elevate mobile app on your phone’s cellular data connection. You can continue making and receiving calls on your business number with no interruption.
In an emergency, PathWise IT can instantly redirect ALL incoming calls to your Auto Attendant to any external number (e.g., a manager’s cell phone or answering service). This takes effect immediately with no delay.
Calling, Advanced Features
Line keys, BLF, Receptionist Groups, Caller ID, CNAM, virtual extensions, WebFax, and paging.
A Receptionist Group routes incoming calls to a set of users before the Auto Attendant answers. During the Receptionist Group’s active hours, calls ring the assigned receptionists first, only if unanswered do they fall through to the Auto Attendant. This is ideal for businesses that want a live person to answer when available, with the AA as a fallback.
- Navigate to HostPilot > Elevate > Auto Attendants > select an Auto Attendant
- Click the Receptionists tab > Create Receptionist Group
- Configure: Group Name, Display Name (shown on phone screen when a call arrives), Timeout, and Schedule Type (Weekdays, Custom, or 24×7)
- Add users or external phone numbers to the group
- Click Create Receptionist Group
After creation, edit the group to access additional options (see below). Default ring type on creation is Ring All (maximum 35 receptionists). This can be changed after creation to allow more members.

- Send to timeout when no one is logged in: immediately routes to timeout if no receptionists are active
- Music on Hold: configure per group via Receptionist Group Settings > Music on hold
Line keys are programmable buttons on your desk phone that can be configured as speed dials, BLF monitors, hunt group login/logout toggles, call park monitors, and more. Configure them in HostPilot at: Services > Elevate > Devices > [Device Name] > Line Keys tab. After saving all key changes, click Reboot device to apply.

- Do not configure BLF on phones that are members of simultaneous Hunt Groups, this causes SIP packet saturation and call quality issues
- Polycom VVX 150 phones do not support BLF
- BLF LED behavior can be customized (solid, slow blink, fast blink, alternating), contact PathWise IT to configure LED mode
- Copy from another device: Devices > [Device] > Copy settings from another device, copies all keys except custom ones; overwrites all existing keys on the target; Line 1 is never copied
- Share to other devices: Share settings to other devices, push a config to up to 10 devices of the same make and model at once
Call Waiting lets you receive a second incoming call while already on an active call. When enabled, you’ll hear a beep or see a visual indicator and can choose to answer, hold the current call, or send the new call to voicemail. When disabled, new calls are rejected or sent directly to voicemail.
Call Waiting is enabled by default on all Elevate-provided phones.

In HostPilot (admin): Services > Elevate > Users > [User] > Caller ID tab. Options: user’s own DID, any number on the account (e.g., the AA number), or Anonymous.
In the Elevate desktop or mobile app: Navigate to Call Settings. Choose from: personal DID, Anonymous, an Auto Attendant number, or a Hunt Group number the user belongs to.
Changes apply immediately across all the user’s devices (desk phone, desktop app, and mobile app).
Default CNAM (applies to all numbers not individually customized): HostPilot > Services > Elevate > Settings > Default CNAM tab.
Per phone number: HostPilot > Services > Elevate > Phone Numbers > click the CNAM link for the number you want to change.
- CNAM is associated with the phone number, not the user, changing CNAM for a number affects all objects that use it as their outbound Caller ID
- North American CNAM: 2 to 15 characters, alphanumeric and spaces only, no more than 6 numeric characters, values are forced to UPPERCASE
- CNAM cannot be set for toll-free numbers
- Intermedia submits CNAM updates to the database every Monday at 10:30 AM PT. Changes typically appear by Thursday of the following week, allow up to 72 hours for propagation
- Some carriers may show outdated CNAM for several weeks, Intermedia cannot control third-party database update schedules
Navigate to Services > Elevate > Phone Numbers to see all assigned and unassigned numbers. Each user and Auto Attendant always has one Primary number (labeled P) and can have one Additional number (labeled A). Export the full list to CSV via the Export to CSV button.
- Elevate > Phone Numbers > Add phone numbers > Local
- Choose: For my location / Specify area code and prefix / ZIP code
- Select desired numbers and click Add phone numbers

Allow 30 to 60 minutes propagation time after assigning a number before it becomes fully active.
- Numbers can only be deleted when unassigned: first unassign, then delete
- To swap primary numbers between two users: swap one user’s primary to a spare number first, then swap the second user’s primary to the freed number
A Virtual Extension is an internal extension that forwards calls to a phone number or another extension, without requiring a full Elevate user seat. Common uses:
- Forward calls to a cell phone for someone who isn’t an Elevate user
- Add someone to the Auto Attendant Dial-by-Name directory without giving them an Elevate phone
- Automate dialing into a conference bridge (including entering the PIN automatically)
- HostPilot > Elevate > Resources & Utilities > + Create > Virtual Extension
- Assign a Name and Extension Number
- Set Route to: Phone Number (any number, even outside Elevate) or Extension (any extension on the account)
- Optionally add Two-Stage Dialing commands (pauses and DTMF digits entered after the call is answered)
- Set a Location and click Create Virtual Extension
Two-Stage Dialing automatically enters digits after the call is answered, perfect for dialing into a conference bridge and entering the PIN without human intervention:
- Set Route to as the conference bridge extension or phone number
- Add a Pause 2 Seconds step (lets the bridge answer and play the PIN prompt)
- Add Enter Characters with the conference PIN followed by # (e.g.,
485216#)
Max dial string: 40 characters (each pause = 1 character; each digit = 1 character).
Configure in the Outbound Caller ID tab after creation. Options: pass through the original caller’s ID, use the virtual extension’s own DID (if assigned), use any user/service number on the account, or block caller ID.
Web Fax gives you a personal fax phone number that receives faxes digitally, no fax machine required. Senders dial your Web Fax number as normal; you receive the fax as a PDF/TIFF/JPG viewable from any web browser, and optionally as an email attachment.
- HostPilot > Services > Elevate > Resources & Utilities > Create > Web Fax
- Assign a Name, Phone Number, and Location
- Click Create Web Fax and confirm charges
Note: you cannot change the phone number assigned to a Web Fax after creation. To change the number, delete and recreate the Web Fax.
Log into the Web Fax interface from HostPilot (admin) or directly at the Web Fax Services portal (users). In the Faxes section you can:
- View, download, or forward received faxes (PDF, TIFF, or JPG format)
- Store faxes for up to 90 days; storage limit is 1,024 pages
- Send faxes: upload up to 5 documents or 50 pages (100 MB total) via the Send a Fax tab
- View sent fax log with delivery status
In Web Fax Settings > Notification tab, configure:
- Email address for new fax notifications
- Delivery format: attach the fax as a PDF in the email, or include a link (link-only is more secure, requires PIN login to view the fax)
- Notifications for Sent Fax Delivered and Sent Fax Failure events
The PIN (6 to 10 digits, cannot start with 0) is required to log into the Web Fax interface. Admins reset PINs in HostPilot > Resources & Utilities > [Fax Name]. Users reset PINs from within the Web Fax interface if they know the current PIN.
Elevate includes a built-in paging feature that sends live voice pages to compatible SIP-enabled devices, overhead speakers, IP speakers, intercoms, and paging servers. Devices are added as AnyPhone BYOP resources and joined to Paging Groups. The default All Page group (extension 9100) rings all paging devices simultaneously.
- CyberData: V3 VoIP Paging Server (multi-zone, analog system bridge), V2 IP Ceiling Speaker (PoE)
- Algo: 8180, 8188, 8301 (IP speakers, intercoms, strobe lights, paging adapters for legacy analog systems)
- Any SIP-compliant paging device registered as AnyPhone BYOP
- Add the device in HostPilot as an AnyPhone BYOP device (Elevate > Devices > Add Devices > Setup your own device)
- Create a Resource account (Resources & Utilities > Create > Resource) and assign the device to it
- Retrieve SIP credentials (Elevate > Devices > [Device] > Get credentials)
- Enter the SIP credentials in the paging device’s web interface:
- SIP Domain/Server → Server
- SIP User ID → SIP User Name / Authentication ID
- Password → Authentication Password
- Set Remote SIP Port to 6060; Local SIP Port to 6000 + extension number (e.g., ext 112 → port 6112)
- Reboot the device; verify registration in HostPilot > Quality > Current Device Status
- HostPilot > Elevate > Groups > Create new group > Paging group
- Name the group and note its Group Number (4-digit extension to dial to page that group)
- Add paging devices to the group from the device dropdown
Dial the Group Number from any Elevate phone to send a live voice page to all devices in that group.
The Calling tab in the Elevate desktop app shows your contact directory with real-time presence status, effectively a built-in Receptionist View. It’s also the interface that automatically opens when you initiate a call transfer on an active call.

Use the search bar to find contacts by name, number, job title, department, or email. Use the + button to create a new custom group.
While on an active call, hover over any contact in the Calling tab to see transfer options:
- Warm transfer: speak with the receiving party before completing the transfer
- Blind transfer: transfer immediately without speaking to the receiving party
- Voicemail transfer: send the caller directly to the contact’s voicemail
To transfer to an external number: click the dial pad icon, enter the number, and choose Warm or Blind transfer.
Call Forwarding lets you control exactly how your incoming calls are handled, which devices ring, in what order, for how long, and where calls go if unanswered. It uses profiles that can be scheduled, toggled, and prioritized.
Where to find it: Elevate Desktop App > Profile picture > Call Settings > Call Forwarding. Admins can also manage it in HostPilot > Services > Elevate > Users > [user] > Call Forwarding tab.
Every user has two built-in profiles that cannot be deleted:
- Default profile: rings all your devices simultaneously for 30 seconds, then sends to voicemail. Active whenever no higher-priority custom profile matches.
- Default: Silent mode: governs what happens during Do Not Disturb, Out Sick, On Vacation, or Off Work. By default sends directly to voicemail.

Destinations can be mixed. Calls always work top-to-bottom through the destination list.
- Go to Call Forwarding and click + Create profile.
- Name it and choose a Schedule: Any time, Business hours, or Events (specific dates).
- Set Incoming Call Type (any, internal, external, or specific callers) and Presence Status conditions.
- Set Forwarding Type: Silent mode (to voicemail) or Destination Order (ring devices in sequence).
- Toggle the profile Active. Higher profiles in the list take priority.
A Pickup Group lets multiple users answer calls ringing at any member’s phone, without physically being at that desk. When a call rings on any member’s device, anyone in the group can pick it up using a feature code.
Dial *97 followed by the Pickup Group’s extension number to answer a ringing call. If multiple calls are ringing, the longest-ringing call is answered first.
- Log into HostPilot > Elevate > Groups > Create Group.
- Select Call Pickup Group and click Proceed.
- Enter a Name and extension, then click Create pickup group.
- Go to the Members tab > Add new agent > select users > Add.
In the Call Forwarding settings, each profile has a Forwarding Type with two options: Destination Order (ring your devices) and Silent mode. The name is misleading, “Silent mode” does NOT just silence your ringer. It means:
- If voicemail is enabled: all calls go directly to voicemail, bypassing every device
- If voicemail is not enabled: calls are dropped and callers hear a busy signal or disconnect
This is the same behavior that activates automatically when your status is set to Do Not Disturb, Out Sick, On Vacation, or Off Work, the “Default: Silent mode profile” handles those statuses.

Silent mode in a forwarding profile is most useful when you want calls to go to voicemail automatically under specific conditions, for example:
- After business hours (create a profile with Business hours schedule → outside those hours → Silent mode)
- When you’re in a specific presence status like “In a meeting”
- For external callers only, while still ringing through for internal colleagues
In Elevate, you cannot type a number to block from the Call Blocking settings page, the blocked numbers list is view-only there. To block a number, you must do it from Call History or Voicemail.
From Call History:
- Open the Call History section (clock icon in the left rail).
- Find the call from the number you want to block.
- Hover over the row, action icons appear.
- Click the Block number icon (circle with a slash).
From Voicemail:
- Open the Voicemail section.
- Click the voicemail from the number you want to block.
- In the detail panel, click Block number.
Blocked calls are automatically redirected to your voicemail: the caller is not told they’re blocked. The call doesn’t ring your phone at all. You can still see the attempt in Call History.
These are two different actions that appear next to each other, it’s easy to click the wrong one:

You can do both, block the number for yourself AND report it as spam.
Elevate automatically analyzes inbound calls using carrier-level spam and fraud detection. Calls are categorized into three tiers, each with its own default handling:

These tags appear on the caller ID display on desk phones and in the Elevate app. They do not affect call routing unless you change the behavior.
Go to HostPilot > Services > Elevate > Settings > Spam calls. For each category, choose from:
- Block: call never rings through
- Tag: call rings through with [SPAM] or [SPAM?] prepended to caller ID
- Tag and send to voicemail: call goes directly to voicemail with the tag
- Do nothing: call rings through with no label
These are two different systems. Spam call handling (Settings > Spam calls) is automatic and carrier-driven, you control how the tags and blocking behave. Call Blocking (Settings > Call Blocking) is manual, you or your admin add specific numbers or enable anonymous call blocking directly.
- Log into the Web Fax portal using your fax number (with country code) and fax PIN.
- Click the Send a Fax tab.
- Upload up to 5 documents (max 50 pages total). Multiple files are merged into one fax.
- Enter recipient fax number(s) or email address(es). Separate multiple with a semicolon.
- Optionally add a cover sheet, footer, or subject line, then click Send.
The system makes up to 3 delivery attempts, 5 minutes apart. Keep faxes short, fax calls are sensitive to connectivity issues.

A directory listing submits your business phone number and name to the public telephone directory, the database used by 411 directory assistance and reverse-lookup services. This makes your business findable by name for callers who don’t already have your number.
This is separate from CNAM, which controls what your outbound caller ID name shows when you call someone. A directory listing is what people find when they search for you.
- Log into HostPilot > Services > Elevate > Phone Numbers.
- Click Request Directory Listing.
- Enter your business name and address exactly as you want them to appear.
- Submit. Directory updates typically take 4 to 6 weeks to propagate across all databases.
Elevate applies automatic audio processing to your calls, this includes noise reduction (removing background noise), echo cancellation, and automatic volume leveling to keep your voice consistent. For most users, the default settings work well and require no adjustment.
If you’re experiencing specific audio problems or using specialized equipment, you can take manual control of these settings.
In the Elevate Desktop or Web App:
- Click your avatar (initials) at the bottom of the left rail to open Settings.
- Go to Audio Settings.
- Toggle on Customize audio processing settings.
- Individual controls appear for noise suppression, echo cancellation, and automatic gain control, toggle each on or off independently.
- Click Save changes.

Auto Attendant
Set up and manage your automated phone menus, greetings, schedules, and holiday routing
The Elevate Auto Attendant is an automated system that answers inbound calls and lets callers navigate options by pressing keys on a touchtone phone. It serves as the central hub of your call flow, routing calls to users, hunt groups, voicemail, submenus, or external numbers based on the time of day, day of week, or special events.

Supported formats: .MP3, .WAV, .OGG. You can create these using any recording software or phone voice memo app.
- Log into HostPilot Control Panel.
- Navigate to Services > Elevate > Auto Attendant.
- Click your Auto Attendant name > click the relevant menu > click the file name next to Greeting.
- Select Upload greeting from the dropdown. Choose your file and upload.
You’ll need the Auto Attendant’s phone number and its greeting PIN (found in Control Panel under the AA Settings).
- Make sure a default greeting is already uploaded (recording over nothing won’t work).
- Dial the Auto Attendant’s phone number from any phone.
- While the greeting plays, press *5.
- Enter the greeting PIN and press #.
- Enter the menu number when prompted (found in Control Panel next to the Greeting link), then follow prompts to record.
When an Auto Attendant is created, two default menus appear automatically: Business Hours and After Hours. The After Hours menu is always on and cannot be deleted, it catches any time period not covered by a Business Hours menu. You can create multiple Business Hours menus (e.g., one for mornings, one for lunch).
- Go to HostPilot > Services > Elevate > Auto Attendant and click your AA name.
- Click Create Business Hours.
- Enter a Name and select a Schedule: Weekdays, Custom days, or 24×7.
- Choose how to build the menu: create blank, pre-populate from an existing menu, or Link to an existing menu (linked menus stay in sync, changes to one update the other).
- Click Next and configure key assignments.
For each key (0 to 9, *, #), choose what happens when a caller presses it:

Events are special Auto Attendant menus that automatically override your regular business hours schedule on specific dates. Once an event’s time passes, it disables itself automatically. Events always take priority over regular menus.
Events are found under the Events tab of your Auto Attendant in HostPilot.
- Navigate to HostPilot > Services > Elevate > Auto Attendant > [your AA] > Events tab.
- Click Add Event.
- Choose the event type:
- National Holiday: select from a pre-built list of dates. Quick and accurate for standard holidays.
- Custom Event: set your own date, schedule, and routing. Note: each custom event can only cover one day. For a multi-day closure, create a separate event for each day.
- Set up greeting, routing, and Receptionist Group options for the event.
When your AA uses a Receptionist Group, you control when the Event fires relative to it:
- Event before Receptionist Group: Calls go directly to the event menu, bypassing the Receptionist Group entirely.
- Event after Receptionist Group: Calls ring the Receptionist Group first. If unanswered, the event routing takes over.
Call Routing Override redirects all calls coming into your Auto Attendant phone numbers to a single external number or internal extension, instantly, with no delay. It’s designed for office outages, power failures, or any situation where you need to quickly reroute calls to a cell phone or another office.
- Log into HostPilot > Services > Elevate > Auto Attendant.
- Find the Call routing override column next to your Auto Attendant (shows “Disabled” or the current forwarding number).
- Click it, enter the phone number or extension to forward to, and click Save Changes.
Can I forward to multiple numbers? No, only one destination. However, that destination can be a Hunt Group extension with multiple agents.
Why doesn’t it reach the user’s voicemail if unanswered? By design, the override sends to the user only, not their voicemail. Workaround: create a virtual extension pointing to the user, then use the virtual extension as the override destination.
Can users use Elevate Mobile Apps during an outage? Yes, if your internet is down but users have cellular data, they can receive calls through the Elevate mobile app and the system routes normally.
When a caller is placed on hold, Elevate plays music from a playlist. By default, all accounts have a 5-track default playlist that cannot be deleted. You can upload your own tracks and create custom playlists, including different hold music for specific Hunt Groups, Receptionist Groups, or Auto Attendants.
Supported formats: .WAV, .MP3, .OGG (max 16 MB per file). File names may only contain letters, numbers, underscores, and a single dot.
- Go to HostPilot > Services > Elevate Settings > Music on Hold > Music Library.
- Click Upload new track.
- Select your file, accept the Terms & Conditions checkbox, and click Upload.
- The track is added to your Music Library. Repeat for additional tracks (max 10 per playlist).
- Go to Settings > Music on Hold > Playlists > Create playlist. Add tracks and name your playlist.
- To assign to a location: go to Elevate > Locations, click the location, and select your playlist.
- To assign to a Hunt Group: go to the Hunt Group > Greetings > Music on Hold, and select from the dropdown.
- To assign to an Auto Attendant: go to AA Settings > General > Music on Hold dropdown.
SMS & Business Texting
Send and receive text messages through your business phone numbers using Elevate
Elevate SMS lets you send and receive text messages from your business phone number using the Elevate Desktop App or Mobile App. Supported destinations: United States, Puerto Rico, and Canada. International texting is not currently supported.
SMS is plain text, limited to 160 characters (standard) or 70 characters when using emojis or non-Latin characters.
MMS supports images, video, audio, and longer messages. Max file size: 0.8 MB (auto-compressed). Supported by US and Canadian carriers only.
Desktop App: Click the + (Add) icon at the top of the left panel > choose New SMS > enter a 10-digit number or search contacts > type your message > click Send.
Mobile App (Android): Navigate to New Chat at the bottom > choose New SMS > enter recipient > send.
Mobile App (iOS): Navigate to New Chat at the top > choose New SMS > enter recipient > send.
You can also send from a contact card: search for a contact and tap the SMS option directly.
Incoming SMS appears in your Elevate app under the Chat section with an “SMS” label. You’ll also get a missed message notification.
To text multiple people at once, create an MMS Group: click the + icon > New SMS > add multiple recipients > Start conversation. Each participant receives and replies as an individual SMS.

Company Messaging lets a group of users share a single business phone number (such as an Auto Attendant or Hunt Group number) for SMS. Any agent in the group can see and reply to incoming texts, and external customers always see responses from the same company number.
Common uses: customer service SMS inbox, sales team shared line, appointment reminders.

- All agents can see the full conversation history and any agent can reply.
- MMS attachments are supported (same size limits apply).
- Agents can mute conversations, edit conversation names and descriptions, and start new SMS conversations.
Elevate SMS is provisioned for Person-to-Person (P2P) messaging, one-on-one, two-way conversations between two people. This is appropriate for most business communications.
Application-to-Person (A2P) messaging, bulk campaigns, marketing blasts, automated one-way reminders, requires separate registration with The Campaign Registry before sending.

Low Volume Mixed Campaigns (most businesses): no more than 2,000 messages/day, 75 messages/hour.
FCC rules extend DNC protections to A2P text messages. Sending to a DNC-listed number will be rejected with an error. To obtain permission from a specific contact, the recipient can text Approve 1XXXXXXXXXX (your 11-digit number, no spaces or dashes) to 12676070000. You can retry 10 minutes after the approval request.
A Company Messaging Group assigns a shared business phone number, such as your main Auto Attendant number or a Hunt Group number, to a group of users who all share the same SMS inbox. Any agent in the group can see incoming texts and reply, but external customers always see responses from the same company number.
This is distinct from individual user texting. It’s designed for team-based workflows where multiple staff members need to handle inbound text conversations, customer service, appointment scheduling, sales queues, and similar use cases.

As of November 2025, each company messaging number includes 1,000 SMS/MMS messages per month. Overage billing applies beyond that threshold. Contact PathWise IT to review your usage if you expect high volume.
- Log into HostPilot > Services > Elevate > Groups.
- Click the Company messaging groups tab.
- Click Create group, assign a company phone number (AA or Hunt Group number), and add agent members.
- Save. Agents will see the Company Messaging tab appear in their Elevate apps within a few minutes.
Channels are group chat spaces inside Elevate, similar to a Slack channel or a Teams channel. They’re useful for ongoing team conversations, project discussions, or department-wide communication. Channels are different from SMS (which goes to external phone numbers) and direct messages (1:1 with a colleague).
To create a channel: click the + in the Messaging section > New channel.

In the Messaging section, all three types appear in the same conversation list. SMS threads are identified by an “SMS” badge next to the contact name.
The first time you open an SMS conversation in Elevate, a modal appears titled “SMS Acceptable Use Policy.” You must click “Accept SMS policy” to proceed. This is a one-time requirement per user.
This is not an error, it’s a required compliance acknowledgment tied to FCC regulations on business text messaging.
By accepting, you confirm that you understand the rules for business SMS:
- Elevate SMS is designed for person-to-person (P2P) messaging: regular two-way conversations with individual contacts
- Using SMS for bulk campaigns, marketing blasts, or automated one-way messages requires separate registration with The Campaign Registry (A2P) and is not permitted without it
- Sending prohibited content (SHAFT, Sex, Hate, Alcohol, Firearms, Tobacco/Cannabis) will result in immediate account suspension with no option to reinstate
- Messaging numbers on the National Do-Not-Call registry without explicit consent will be rejected
Hunt Groups & Call Queues
How inbound call routing, queues, and agent login work
When you’re logged into a Hunt Group, calls from that queue ring your phone. When you log out, the system skips you and routes to other available agents. Log out when you’re on a break, in a meeting, or otherwise unavailable, this prevents calls from ringing when you can’t answer.
Both Basic and Advanced Hunt Groups use the same dial code format:

Note: the bulk “sign in to all” toggle and individual group toggles work independently, changing one doesn’t automatically update the other.
A Receptionist Group sits in front of your Auto Attendant. During business hours, incoming calls ring the Receptionist Group first, if a receptionist answers, the caller never hears the automated menu. If no one answers within the timeout period, the call flows into the Auto Attendant as normal.
Think of it as a “first try live person” before the automation kicks in.

- Receptionist Group rings, all designated receptionists’ phones ring simultaneously
- If answered: receptionist handles the call normally
- If no answer (timeout reached): Auto Attendant greeting plays and caller navigates the menu
- Ring strategy: Ring All (default), Sequential, Round Robin, or Longest Idle
- Schedule: Can be set to different hours than the AA, e.g., only active 9 AM to 5 PM while AA runs 24/7
- Timeout: How many seconds to ring before falling to the Auto Attendant
- Max callers on hold: Prevents queue from growing indefinitely
- Direct transfer: The Receptionist Group has its own extension, callers can be transferred directly to the receptionist queue
When a caller reaches an Advanced Hunt Group queue, they can hear a sequence of audio designed to keep them informed and engaged while waiting:
- Initial Greeting: plays once when the caller enters the queue (e.g., “Thank you for calling XYZ Support. All agents are currently busy…”)
- Repeating Message: plays at intervals while on hold (e.g., “Your call is important to us. Please continue to hold…”)
- Smart Greeting: plays after the repeating message; announces queue position and estimated wait time
- Music on Hold: plays between messages
- Menu Options: if configured, callers can press keys to leave a voicemail, request a callback, etc.
Smart Greetings automatically calculate and announce queue position and estimated wait time:

When a call reaches you through any Hunt Group (Basic or Advanced), your phone and apps automatically show both the caller’s name AND the name of the queue the call came from. This works across every interface:

Executive/assistant call handling and forwarding workflows
Call Delegation is a workflow where one employee (the Delegator: e.g., an executive) has their calls handled by another employee (the Assistant: e.g., an administrative assistant). PathWise IT sets this up using the Call Forwarding system, no action is needed from the employee or assistant.

Night Mode
One-button emergency call rerouting from your desk phone
Night Mode is a dedicated button on your desk phone that instantly reroutes all incoming calls to after-hours handling, with a single press. It’s designed for situations like an unplanned early office close, a sudden emergency, or any time you need to quickly redirect calls without logging into HostPilot.
- Press once to activate: The button’s LED turns red: all calls now route to after-hours handling
- Press again to deactivate: The button’s LED turns green: calls return to normal routing
When Night Mode is active for an Auto Attendant, all calls go directly to the After Hours menu, bypassing the Receptionist Group and normal business hours menus.

Voicemail Escalation is an Elevate feature that actively calls designated staff members when a voicemail arrives in a resource mailbox or Auto Attendant mailbox. Instead of waiting for someone to check voicemail, the system calls a list of people, in order, until someone acknowledges the message.
Common uses: urgent after-hours messages, medical practices that need to respond to patient voicemails promptly, on-call staff notification, shared department mailboxes.
- Log into HostPilot > Services > Elevate > Settings > Voicemail escalation.
- Click Create escalation profile.
- Name the profile and link it to the resource mailbox or AA voicemail it monitors.
- Add escalation contacts in priority order, the system calls them sequentially until one acknowledges.
- Set ring time per contact before moving to the next person.
- Save the profile.
Escalation profiles work with Resource mailboxes and Auto Attendant voicemail boxes: not individual user voicemail. If you want escalation on a user’s voicemail, consider routing unanswered calls to a resource mailbox with an escalation profile attached.

Hot Desking lets you temporarily log into any enabled desk phone and use it as your own, with your extension, your caller ID, your line keys, and your call forwarding settings. Common in shared office spaces, retail environments, or when visiting another office.

- Enter your voicemail PIN and press #.
- You’ll hear a confirmation tone. Hang up.
- The phone reboots with your settings. If it hasn’t rebooted within 1 minute, reboot it manually.
After login, the phone uses your default Call Forwarding profile and rings when your extension is called.

- You’ll hear a confirmation tone. Hang up. The phone reboots to its original configuration.
- If the phone is the same make and model as your normal phone, all your line keys and settings copy over. If the model differs, you still get a working phone with your extension, just without full customization.
- Emergency calls (911): While hot desked, 911 will show the address of the phone’s physical location (the device owner’s address), not your usual address. Be aware of this in an emergency.
- Call history made while hot desked stays on that phone after you log out.
When you use the Elevate Desktop App to make or answer calls, the app needs to know which physical phone to use for the actual audio. The CallController device is the desk phone you’ve designated for this purpose, it’s the phone that will ring and carry the call audio when you click to call from your computer.
This lets you control calls from your computer screen (see caller ID, transfer, hold) while speaking through your desk phone handset or speakerphone, a common setup for power users and receptionists.
In HostPilot (admin):
- Go to HostPilot > Services > Elevate > Devices.
- Find the user and click their device name.
- Click Set as CallController device next to the desk phone you want to use.
In the Elevate Desktop App (user): Go to Settings > Devices and select the preferred desk phone from the CallController dropdown.

Android’s battery optimization features can kill background apps to save power, including Elevate. When Elevate is restricted in the background, incoming calls may not arrive, and you may see a red banner warning in the app. Battery optimization must be set to Unrestricted or Not Optimized for the Elevate app.

Available from the More button during an active call. Recording behavior depends on your administrator’s configuration:
- On-Demand: Manually start, pause, or resume recording. A visual indicator shows recording is active; an audio announcement is played for both parties.
- Automatic: Recording starts automatically when the call begins. You can pause and resume as needed (e.g., for sensitive information).
- Hunt Group calls: HG recording starts automatically when you join; you can pause/resume if permitted. You cannot start personal on-demand recording during a Hunt Group call.
Recordings are available in the Recordings tab after the call, and sent via email if configured.
The upper right corner of the active call screen shows a color-coded quality score: Green (Good), Orange (Medium), Red (Bad). Tap it to see individual metrics: packet loss, jitter, round-trip time, and audio codec. If quality is Bad, you’ll receive a beep + haptic feedback and a suggestion to Switch to Cellular.
You can also tap Report an issue to submit feedback about specific problems (distorted speech, one-way audio, echo, etc.). Reports go to an internal quality dashboard, no follow-up is provided via this button.
AI Features
AI Call Recap, AI Meeting Recap, and smart communication tools
AI Call Recap automatically analyzes your recorded calls and delivers a post-call package within minutes of hanging up, no note-taking required. Each recap includes:
- Transcription: Complete searchable text of everything said on the call
- Sentiment Analysis: Whether the call was positive, neutral, or negative overall
- Topics: Key subject groupings from the conversation, each with sentiment
- Summary: A concise 3 to 5 sentence recap of the main points and outcomes
- Desktop/Web app: Call History → Call Recordings & Recaps tab → look for the ✦ icon next to calls with a recap
- Mobile app: Calls tab → Recordings section → calls with ✦ icon have recaps → tap to view and scroll down
- Archiving Portal: Search → set Type to “Calls” → filter by Transcriptions
- Wait a few minutes. Recaps generate within minutes of call completion, not instantly. Give it 3 to 5 minutes before troubleshooting.
- Check your plan. AI Call Recap is only available on Essentials, Pro, and Enterprise. Express plan users cannot use this feature.
- Check if the call was recorded. Go to Call History, does the call show a recording? If there’s no recording, there’s no recap. See “Call Recording” to verify recording is enabled.
- Confirm AI Call Recap is enabled for your user. This is a per-user admin setting. Contact PathWise IT to confirm it’s turned on for your account.
- Confirm Archiving is enabled. AI Call Recap requires Archiving (30-day minimum). Contact PathWise IT to verify this is active on your account.
- Check your app version. Minimum versions: Desktop 2.25.87, Web 2.25.92, Mobile iOS 2.35, Android 2.59. Update the app if needed.

When storage is full, new recordings are silently not saved (email delivery still occurs if enabled). Storage alerts are sent at 80%, 90%, and 100% capacity. For longer retention (up to 10 years), use Elevate Archiving.
When call recording starts, Elevate can play a voice prompt, “Your call is being recorded”, to both parties. Your account administrator can enable or disable this announcement.
A periodic beep tone can also be enabled to remind all parties throughout the call that recording is active. Both the announcement and beep tone are configurable separately.
Call recording consent laws vary by state and jurisdiction. Some states require one-party consent (only one person on the call needs to know), while others require all-party consent (everyone must be notified). PathWise IT does not provide legal advice. Consult your legal team to determine what notification requirements apply to your business and location.
AI Call Recap automatically generates a summary, transcript, and key insights after a call. It works on both inbound and outbound calls, but call recording must be enabled on your account and user for AI Call Recap to function. The AI processes the recording to produce the recap.
AI Call Recap is available on Essentials, Pro, and Enterprise plan tiers. It is not available on Basic or Express plans.

- Click Download: recordings arrive as a archive.zip file containing .mp3 files named with phone number, date, and time.

The auto-delete period (how long before recordings are purged from the server) is configurable per user or group, maximum 90 days. For recordings older than 90 days, use Elevate Archiving.
Navigate to HostPilot > User > Elevate > Call Recording tab. Set the Auto-Delete field to your preferred retention period (up to 90 days). Recordings are deleted automatically after this period. If auto-delete is not set, the storage will fill and new recordings will not be stored once capacity is reached, though email notifications will still be sent.

Click “Set your status message” in the app to add a brief note (up to 40 characters) that all your coworkers can see, e.g., “In a meeting until 2pm” or “Working from home today.”
When you dial 911 from the Elevate app, emergency services see your registered E911 address. If that address is wrong, help could be sent to the wrong location. Federal law (Kari’s Law and RAY BAUM’S Act) requires this address to be accurate and dispatchable.

Elevate through PathWise IT is billed month to month: no long-term contract required. Cancel at any time by emailing [email protected].
If your account included a hardware discount, canceling within the first 12 months of your hardware order date triggers proration. The clock starts when the hardware is ordered, not when it ships or when your service goes live:
Formula: (original discount ÷ 12) × months remaining = amount due
Numbers can be ported out to a new provider. Begin the port process early, outbound porting takes 1 to 3 weeks. Your new provider initiates the port before your Elevate service ends.
Unlike local numbers where inbound calls are free to your account, toll-free numbers (800, 888, 877, 866, etc.) charge you per inbound minute: because your business absorbs the cost so callers can reach you for free.
You have two options:
- Pay-per-use: billed at a per-minute rate for every inbound minute. No monthly commitment. Best for low-volume toll-free use.
- Minute packages: pre-purchase a block of inbound minutes per month at a better per-minute rate. Best for predictable or high toll-free call volume.
Packages range from 500 minutes/month up to 1,000,000 minutes/month. Minutes are pooled across all toll-free numbers on your account. Unused minutes do not roll over month to month.
If you exceed your package, additional minutes are billed at the pay-per-use overage rate for that month.

Moving your phone number from your current carrier to Elevate is called number porting. PathWise IT handles the process on your behalf, here’s what you need to know:

Navigate to HostPilot > Services > Elevate > Reports & Analytics. Requires the Technical Administrator role with Elevate sub-role. Reports use the time zone of your main company location.

Historical reports support: Last 3 days, Last week, Last 2 weeks, Last month, and Custom. Using Custom, you can group data by Hour (last 3 days only), Day, or Month.
After running any report, click Save as (top right) to save it. Saved reports appear in the Saved & Scheduled Reports tab. From there, click Add Schedule to email the report automatically at Daily, Weekly, or Monthly frequency. Note: scheduling is not yet available for Historical Voice Calls v2.
Shows the number and duration of calls per user: Total, Unanswered, Inbound, Outbound, and Internal. Available from February 2020 onward.
Important: When a call rings a Hunt Group, it shows as answered for the agent who picked it up and unanswered for all other agents in the group who didn’t. This means the total of answered + unanswered calls will exceed the actual number of calls received. This is by design, use the Call Summary Report if you need a 1:1 call count.
Each call is counted exactly once, regardless of how many users it rang. Provides a true picture of:
- Total Calls, Answered Calls, Unanswered Calls
- Total Call Duration and Average Call Duration
- Trend graph of calls by direction (Inbound, Outbound, Internal) over time
Use this report to understand how many calls your business actually received and what percentage were answered.
A row-by-row breakdown of every call with: From/To names and numbers, direction, answered/unanswered, duration, chargeable duration, and free minutes used. Filter by:
- From/To name or number
- Call direction (inbound, outbound, internal) and answered/unanswered status
- Chargeable vs. non-chargeable calls
Note: when a call ends in voicemail, it is counted as “answered” by the system.

Navigate to Reports & Analytics > Historical Reports > Advanced Hunt Group Reports. Select Group Overview (queue-level) or Agent Performance (individual agent-level), choose a time period, and click Run Report.
Filter by specific Groups and/or Agents. Shows per agent:
- Total calls: received calls including rolled and answered
- Rolled calls: calls that entered the queue but were not answered by this agent
- Total time logged in
- Max Talk Time and Average Talk Time
- Visual diagrams for Talk Time trends and Calls per hour ratio

The Service Adoption Dashboard helps admins understand how quickly their team is using Elevate services, Voice, Chat, Meetings, and Apps. Access it at: Services > Elevate > Reports & Analytics > Service Adoption. Data is updated once daily as a snapshot.

Why does the User Activity Report show more calls than the Call Summary Report? The User Activity Report is user-focused: a Hunt Group call that rings 3 people appears once per person (answered for one, unanswered for the others). The Call Summary Report counts that same call once total.
Can I schedule reports? Yes, save any report, then click Add Schedule to deliver it daily, weekly, or monthly to an email address.
- Run any report in HostPilot > Elevate > Reports & Analytics.
- Click Save as in the upper right corner and name the report.
- It appears under Saved & Scheduled Reports for future access.
- Go to Saved & Scheduled Reports and find your saved report.
- Click Add Schedule under Report actions.
- Set Frequency (Daily, Weekly, or Monthly), day, time, and one or more email addresses.
- Click Save. The report will be emailed automatically on your schedule.

Elevate Archiving is a separate long-term storage and compliance system that captures and retains communication data beyond the standard 30-day or 90-day limits. PathWise IT enables 30-day archiving on all accounts by default.

Archiving Administrators (PathWise IT) can grant Manager Access to team leads or compliance personnel. Manager Access is configured per channel (Voice, SMS, Chat) and per user. A global block list can protect executive or sensitive communications from being visible to Manager Access users.

- Connect the Ethernet cable from the Internet port on the base to a port on your network switch or router.

- Place the handset in the charging cradle (connected to power).
- Charge for 6 hours before first use for optimal battery life.
New handsets are not pre-registered to the base. The order in which you register handsets to the base matters, handsets occupy positions 1 through 10, and each position maps to the user/extension assigned in HostPilot.

- Click the Expansion panels tab. If you don’t see this tab, that phone model doesn’t support expansion modules.

To apply the same line key layout to multiple phones of the same model: go to the source phone > click Share settings to other devices > select target phones > click Copy. All existing line keys on the target phones are overwritten (Line 1 is never copied).

Connecting Yealink headsets with the Elevate app
- Connect via USB: Bluetooth alone is NOT supported for app integration
- Download and install Yealink USB Connect from yealink.com
- Open Yealink USB Connect → click your headset → Update Device → install firmware
- Open Elevate app → Profile picture → Call Settings → confirm Computer mode is selected
- Go to Audio Settings → Device Integration → select Yealink as speaker and mic → toggle on Yealink headset integration
- Video meetings: mute sync between headset and app is NOT supported for Online Meetings (phone calls only)
- 3-way calls: headset call controls not supported during 3-way calls

Your first step after setting up any CRM integration is to select your default calling device (desk phone, desktop app, or mobile app). This determines which device rings when you place a call from the CRM.
When you receive a call from a number not in your CRM, most integrations let you create a new Contact, Lead, or Account on the spot, the phone number is pre-filled so you don’t have to retype it. The call activity is then linked to the new record.
If call recording is enabled on your account, several CRM integrations (Salesforce, Zendesk) can attach a link to the call recording directly in the CRM activity log. This requires enabling the setting in the CRM integration panel. Note: recordings are linked, not embedded, click the link to play or download. Recordings expire after 90 days unless Elevate Archiving is configured for longer retention.

The Elevate Chrome Extension adds click-to-call capability to any webpage in your Chrome browser. Hover over any phone number on a website and the Elevate icon appears, click it to instantly dial the number using your Elevate app. No copying or manual dialing required.
The extension also integrates with Google Calendar to add Online Meeting links to your calendar events and start meetings directly from your browser.

When you enable the HubSpot CRM integration in HostPilot, it shows as “Enabled” but a warning appears: “To enable the integration you will need to create a Private App in HubSpot.” The integration is not fully active until this step is completed.
HubSpot requires a Private App to authorize Elevate to log calls and access contact data in your HubSpot account. This is HubSpot’s security model, it replaces older API key methods and gives you control over exactly what Elevate can access.
- Log into your HubSpot account as an admin.
- Go to Settings > Integrations > Private Apps.
- Click Create a private app.
- Give it a name (e.g., “Elevate Integration”) and set the required scopes. For Elevate call logging you need at minimum:
crm.objects.contacts.read,crm.objects.contacts.write,crm.objects.calls.write. - Click Create app. HubSpot generates an Access Token: copy it.
- Return to HostPilot > Elevate > Subscription > Integrations > HubSpot CRM.
- Paste the Access Token into the integration settings and save.
- Automatically logs inbound and outbound calls to the matching HubSpot contact record
- Shows caller’s HubSpot contact information (name, company, deal stage) as a screen pop when a call comes in
- Lets agents click-to-call from inside HubSpot
- Call notes and dispositions can be added to HubSpot records directly from the Elevate app
The Reynolds & Reynolds integration connects Elevate with two Reynolds products, ERA-IGNITE and FOCUS CRM, and can be used with one or both:

This integration is not self-service and involves multiple steps with 3 to 5 business day processing times at several stages:
- Admin submits a request in HostPilot > Subscription > Integrations > Reynolds and Reynolds. Intermedia manually reviews and approves the request, allow 3 to 5 business days.
- Upon approval, admin receives a Branch Code by email. This code must be entered as the Location Name in HostPilot, no spaces or special characters.
- Admin purchases the required number of subscriptions (minimum 35 required).
- Admin assigns users to ERA-IGNITE via HostPilot.
- For FOCUS CRM: admin emails [email protected] with the list of users to provision. Allow ~5 business days for Intermedia to process.
- Minimum of 35 subscriptions must remain active to keep the integration running
- FOCUS CRM user provisioning and configuration changes require emailing Intermedia, not doable in HostPilot
- Each user’s dlrSecured email in Reynolds & Reynolds must exactly match their Elevate email address

The Pipedrive integration automatically logs inbound and outbound calls directly within Pipedrive CRM, including call details such as direction, duration, and timestamp, without requiring manual data entry. Users can view real-time call details inside Pipedrive without switching between applications.
The integration uses Pipedrive’s available APIs to connect with Elevate. The scope of what can be logged or automated depends on what Pipedrive’s API supports.
The Pipedrive integration for Elevate UC is included at no additional monthly charge. It is available to users on any Elevate UC license tier.
Elevate offers a Tekion CRM integration for automotive dealerships using the Tekion platform. Tekion is a cloud-native dealer management and CRM system designed specifically for the automotive retail industry.
Detailed feature documentation for the Tekion integration is not currently published in Intermedia’s public support knowledge base. For accurate, up-to-date information on what the integration includes, which license tiers support it, and how setup works, contact PathWise IT directly.

Elevate for Teams Direct Routing lets users make and receive calls through Microsoft Teams using their Elevate phone service, no Microsoft calling plan required. Teams becomes the calling interface; Elevate remains the PBX with all its features (Auto Attendant, Hunt Groups, call recording) running behind the scenes.

SSO lets users log into Elevate apps using their existing company identity (Microsoft Azure AD, Google, Okta, or any SAML provider) instead of a separate Elevate password. Requires an Account Contact with the Security Manager role in HostPilot.
Covers: Elevate (Desktop, Web, Mobile), ShareSync, Online Meeting, Contact Center, MyServices, OWA, Device Management Portal, and CRM integrations.
Does not cover: HostPilot (Control Panel) or Partner Portal, admins continue to use local credentials for those.

Host and join HIPAA-compliant video meetings, webinars, and screen shares through Elevate
Online Meeting is Elevate’s built-in HIPAA-compliant video conferencing, screen sharing, and webinar platform. No separate subscription needed, it’s included with your Elevate plan.
- OS: Windows 10+, macOS 12+, or Linux/Ubuntu
- Browser: Latest Chrome or Edge recommended. Firefox and Safari users will be prompted to install the Elevate desktop app. Internet Explorer is not supported.
- Internet: 2 Mbps upload and download minimum. Wired connection recommended for best audio quality.
- Audio: USB headset, webcam with mic, or integrated microphone. You can also dial in by phone.
- Log into Online Meeting via Chrome. You’ll land on your Account Dashboard: your personal meeting hub.
- Click Start a Meeting Now for an instant meeting, or schedule one for later.
- Your meeting has a permanent custom URL, dial-in number, and host/attendee PINs, all visible on your dashboard.
You can also start a meeting directly from the Elevate Desktop App: go to the Chat tab and select Start a Meeting from any conversation.

Recording is available for meeting hosts. It is not currently available in the mobile app, you must use the desktop browser or Elevate Desktop App to record.
- During your meeting, click the Record button in the top menu.
- Confirm to start recording. A recording indicator will appear.
- To stop recording, click the red Record button again.
- If you start recording again after stopping, you’ll be asked to Append (continue from where you left off) or Overwrite (deletes the previous recording).
Access and share your recording from your Online Meeting Account Dashboard under Past Meetings. Click any meeting title to view reports, download, or email the recording to attendees.
Search for Online Meeting on the Apple App Store (iOS 16+, iPadOS 16+) or Google Play Store (Android 11+). Note: there are separate apps for Meetings and Webinars, make sure you download the correct one. Webinar hosting is only supported on PC.
The first time you click a meeting link on your phone, you’ll be taken to the App Store/Play Store to download the app. After installing, if the meeting has no audio or camera:
- Go to your phone’s Settings > Online Meeting.
- Make sure Microphone and Camera access are both set to Allow.
Tap the meeting link from your calendar invite or email. The app opens and connects you automatically. You can choose whether to join with audio and video enabled or disabled on the join screen.

VPNs add latency and can modify packets, causing choppy audio, one-way audio, or dropped calls. Test: disconnect your VPN and make a test call. If quality improves, the VPN is the cause.

Secure SIP enables SIP TLS (encrypted call signaling) and SRTP (encrypted call media/audio) for desk phones and other hardware endpoints connected to your Elevate account. When enabled, the connection between your physical phones and the Elevate cloud is encrypted end-to-end.
By default, Secure SIP is disabled. Standard SIP (unencrypted) works well for most business environments, particularly when phones are on a private LAN behind a firewall.

Secure SIP in General Settings applies to desk phone connections (peripheral endpoints). SIP Tie Trunks for on-premise PBX integration have their own Secure SIP setting configured separately within each trunk. They are independent controls.
PathWise IT is a Ubiquiti shop, we install and configure UniFi networks for Elevate deployments. The settings below reflect how we configure UniFi for reliable VoIP. If PathWise IT installed your network, these settings are already in place.
SIP ALG is generally off by default in UniFi Network 9.0.114 and later, but verify and disable it if needed.

Switch port QoS (for voice VLAN):
Ports → [Select Port] → Manual → Enable QoS → Trust or remark DSCP EF for the voice VLAN.
Separate voice and data traffic: Settings → Networks → Create New Network → set VLAN ID (e.g., VLAN 10 for voice) → assign to switch ports used by desk phones. Apply QoS rules to the voice VLAN.
Cloud-hosted VoIP (Elevate) uses outbound connections, no inbound port forwarding required. Ensure outbound traffic on ports 5060 UDP, 10000 to 55000 UDP, 443 TCP, and 6716 TCP (Yealink provisioning) is not blocked. The default UniFi LAN-Out policy allows this without custom rules.
If your security policy restricts outbound traffic, add explicit allow rules for *.telecomsvc.com and *.serverdata.net on the above ports.
SonicWall calls SIP ALG “SIP Transformations”, it is enabled by default and must be disabled for Elevate.
SonicOS 7.x:
Network → VoIP → Settings → uncheck Enable SIP Transformations → Accept
SonicOS 6.5 and earlier:
VoIP → Settings → uncheck Enable SIP Transformations
On the same VoIP Settings page, check Enable Consistent NAT. This ensures phones maintain the same NAT mapping across sessions, preventing registration drops.
SonicWall’s default UDP timeout is 30 seconds, too short for VoIP sessions. Increase it to 120 seconds:
Policy → Rules and Policies → Access Rules → edit the LAN to WAN rule for your phones’ zone → Advanced tab → set UDP Connection Timeout to 120 seconds
Network → Interfaces → [WAN interface] → Configure icon → Advanced tab → enable Egress and Ingress Bandwidth Management and set your line speed in Kbps.
Then create traffic shaping rules: Policy → Rules and Policies → Access Rules → add a rule for UDP 5060 and 10000 to 55000 with DSCP marking EF (46) and high priority.
For best results, create a dedicated VoIP zone: Network → Zones → Add → name it “VoIP” → Security Type: Trusted → uncheck all Security Services for this zone. Assign phone interfaces to the VoIP zone. This prevents unnecessary SIP inspection on voice traffic.
FortiGate SIP ALG is enabled by default and must be disabled via CLI, it cannot be fully disabled from the GUI. Run these commands in the FortiGate CLI console:

Policy & Objects → Traffic Shapers → Create a shaper for VoIP. Set DSCP value to 46 (EF) (decimal 46 = binary 101110 in the DSCP field).
Then: Policy & Objects → Traffic Shaping Policy → Add → match source = voice VLAN, apply your VoIP shaper with high priority queue.
Security Profiles → Application Control → set VoIP and Video/Audio to Allow.
The Meraki MX is a stateful firewall with no SIP ALG: there is nothing to disable. If a VoIP provider tells you to “disable SIP ALG,” check upstream equipment (ISP gateway, modem) instead. The Meraki MX UDP timeout also cannot be changed, but its default behavior is sufficient for cloud VoIP.
Dashboard → Configure → Addressing & VLANs → Add a VLAN for voice (e.g., VLAN 10, subnet 10.10.10.0/24). Assign desk phone switch ports to this VLAN via Switches → Switch ports → set Voice VLAN on the relevant ports.
Security & SD-WAN → Configure → Traffic Shaping:
- Set accurate uplink bandwidth values for WAN 1 (and WAN 2 if dual-WAN), QoS only works correctly when these match your actual line speeds.
- Click Create a new rule.
- In the Rule Definition, select VoIP & video conferencing from the application category dropdown.
- Set Per-client bandwidth limit to Ignore limit.
- Set Priority to High.
- Set DSCP tag to 46 (EF).
Note: “Realtime” priority in Meraki is reserved exclusively for traffic already tagged DSCP EF 46, the above rule handles this correctly.
If you have two WAN connections: Security & SD-WAN → SD-WAN & Traffic Shaping → Uplink preferences → create a preference to route voice VLAN traffic over your most reliable WAN uplink.
Elevate uses outbound connections, no inbound port forwarding required for cloud phones. Ensure your outbound firewall rules (Security & SD-WAN → Firewall) do not block UDP 5060, UDP 10000 to 55000, TCP 443, or TCP 6716.
If IDS/IPS is enabled, add exceptions or allowlist for *.telecomsvc.com and *.serverdata.net to prevent false-positive blocks on SIP traffic.
pfSense and OPNsense do not have a traditional SIP ALG. The closest equivalent is the Siproxd package, do not install it for Elevate. Elevate handles NAT traversal natively.
pfSense’s default UDP state timeouts are too short for VoIP sessions, causing intermittent phone disconnections.

By default, pfSense/OPNsense rewrites source ports on outbound UDP traffic. This can cause one-way audio with some SIP deployments. Fix it with a static port rule:

- Click Add to create a new rule

No inbound (WAN) rules are needed, Elevate is cloud-hosted and uses outbound connections.
pfSense: Firewall → Traffic Shaper → use the HFSC or PRIQ wizard → enable the VoIP screen → select “Generic VoIP” profile. After the wizard runs, create floating rules to match UDP 5060 and 10000 to 55000 and assign them to the high-priority queue.
OPNsense: Firewall → Shaper → Queues → create a queue for VoIP with high priority. Then Firewall → Shaper → Rules → add a rule matching UDP 5060 and RTP range → assign to your VoIP queue.
After any QoS changes: Diagnostics → States → Reset States to ensure new traffic enters the correct queues.

Firewall ports, SIP ALG, VoIP quality thresholds, switch configuration, compliance certifications, and E911.
SIP ALG (Session Initiation Protocol Application Layer Gateway) is a feature built into most commercial routers that modifies VoIP call packets as they pass through. Despite being designed to help, it almost always causes problems with modern VoIP systems like Elevate and must be disabled.

The exact steps depend on your router. Search your router’s admin interface for “SIP ALG,” “SIP Transformations,” or “SIP Helper” and disable it. SonicWall steps:

A VLAN separates voice traffic from data traffic on the same physical network. This prevents large file downloads or video streaming from degrading call quality. Place VoIP phones on a dedicated voice VLAN with QoS priority marking.
All Elevate-certified phones (including the Yealink T73W, T74W, and T85W) support PoE, power and data over a single Ethernet cable. If using PoE phones, ensure your switch is PoE-capable with sufficient power budget for all connected phones.

Desk phones (Yealink, Poly Edge, Fanvil) must always connect via wired Ethernet, Wi-Fi is not supported for desk phones on Elevate. Wi-Fi is only appropriate for the Elevate desktop app (laptop/PC softphone) and the Elevate mobile app. If you’re evaluating Wi-Fi for either of those, the following requirements apply.
Consumer-grade access points (home routers with Wi-Fi built in, ISP-provided gateways, retail mesh systems) are not suitable for business VoIP. They typically lack the QoS capabilities, roaming standards, and management features needed for reliable real-time audio. Use enterprise-grade managed APs, Ubiquiti UniFi, Cisco Meraki MR, Aruba, Ruckus, or similar.

Always connect voice-capable devices to the 5 GHz band. The 2.4 GHz band is heavily congested (competing with Bluetooth, microwaves, neighboring networks), has higher interference, and is unsuitable for reliable VoIP. On 5 GHz, use a 40 MHz channel width: wide enough for good throughput without the interference risk of 80 MHz in shared office environments. On 2.4 GHz, if you must use it for other devices, keep channel width at 20 MHz.
Enable band steering (called “Prefer 5GHz” in UniFi) so that dual-band capable clients are directed to 5 GHz automatically. Do not force all clients exclusively to 5 GHz, some legacy IoT devices may only support 2.4 GHz.
WMM (802.11e) is the wireless equivalent of QoS, it gives voice traffic priority over data traffic on the Wi-Fi link itself. Without WMM, a large file download on the same SSID can directly degrade a call. Ensure WMM is enabled on the SSID used for voice-capable devices. On most enterprise APs it is on by default; verify it has not been disabled.
WMM maps DSCP EF (46), the tag Elevate phones and apps use for RTP audio, to the Voice access category (AC_VO), giving it the highest priority queue on the radio.
If your office has more than one access point, roaming behavior directly affects call quality. When a device moves between APs without fast roaming support, it must fully re-authenticate, a process that can take 500ms or more, which is long enough to drop a call or cause a noticeable audio gap.

Leave the beacon interval at the default 100ms. Shortening it increases overhead and reduces usable airtime; increasing it makes clients slower to discover APs when roaming.
Set DTIM to 1 or 2 for SSIDs used by voice clients. DTIM controls how often buffered broadcast data is delivered to sleeping devices, a lower value means less latency for incoming audio packets on devices in power-save mode. The default of 1 is appropriate for voice.
A common cause of poor Wi-Fi call quality is a “sticky client”, a device holding onto a weak, distant AP rather than roaming to a closer one. Enterprise APs let you set a minimum RSSI threshold (typically −72 to −75 dBm) below which clients are disconnected and forced to find a better AP. This is essential in multi-AP offices.
In UniFi: Settings → WiFi → [SSID] → Advanced → BSS Transition → Minimum RSSI. Set to around −72 dBm as a starting point and adjust based on your coverage.
For voice, APs should have overlapping coverage of 15 to 20% between adjacent APs, enough that a device always has a better AP available before signal degrades, but not so much that clients are confused about which AP to use. Use non-overlapping channels between adjacent APs: channels 1, 6, and 11 on 2.4 GHz; channels 36, 40, 44, 48, 149, 153, 157, 161 on 5 GHz.
A single AP serving too many clients degrades per-client throughput. As a rough guide, limit voice-capable APs to 15 to 20 simultaneous active clients for reliable call quality.
- ISP-provided gateway APs: Almost always consumer-grade; disable the Wi-Fi on the ISP gateway and use a separate enterprise AP
- Mixed-vendor AP deployments: 802.11r requires all APs handling a roam event to share the same mobility domain, mixing vendors often breaks fast roaming even when each AP individually supports it
- Wi-Fi 5 (802.11ac) at 80 MHz on 2.4 GHz: Not possible, 80 MHz channels are 5 GHz only; do not try to configure 80 MHz on the 2.4 GHz radio
- High DTIM values (3+): Causes audio buffering on devices in power-save mode; keep DTIM at 1 or 2 for voice SSIDs

DirectoryLink is a Windows service installed on your domain controllers that syncs your on-premises Active Directory users to Elevate. Once installed, user properties (names, email addresses, UPNs) automatically stay in sync, no manual updates needed in HostPilot.
- One-way sync: Active Directory values overwrite Elevate user properties. Changes must be made in AD, not in HostPilot.
- Password sync: Passwords sync only during a password reset, existing passwords are not synced at install. After installation, have users reset their passwords.
- Scope: Sync is limited to a specified Organizational Unit (OU) in your AD forest. PathWise IT recommends scoping to only the OU containing Elevate users.
- Auto-updates: DirectoryLink version 2.0+ updates itself automatically after installation.

- Right-click setup.exe and choose Run as Administrator on each domain controller.

SIP Trunking & On-Premise Integration
Connecting Elevate to on-premise PBX systems using SIP tie trunks
A SIP Tie Trunk creates a virtual SIP connection between your Elevate cloud account and an on-premises PBX or SBC. This enables extension-to-extension dialing between cloud users and on-site devices, useful for organizations with a hybrid telephony environment (e.g., an existing on-premise phone system running alongside Elevate).
Common use cases: connecting emergency paging systems, operator consoles, door phones, or other on-premise devices to Elevate.
- Extension length must match: Premise extensions must have the same number of digits as your Elevate extensions (3, 4, or 5 digits).
- No duplicate extensions: Premise extensions cannot use numbers already assigned to Elevate users.
- Active registration required: The on-premise PBX or SBC must periodically register with Elevate’s cloud. Elevate does not register outward, it’s a one-way registration model.
- SBC recommended: Terminate the tie trunk on a Session Border Controller for best results and security.
- Max premise extensions: 1,000 per account.
- Log into HostPilot > Services > Settings > SIP Tie Trunks.
- Click Create SIP Tie Trunk.
- Enter a name, select location, set concurrent call paths, choose codec priority (G.729, G.711U, or G.711A), and optionally enable Secure SIP.
- Select Generic Vendor as the PBX type (unless using NEC Bridge license, see the Bridge License article).
- Click Create SIP Tie Trunk and wait for provisioning.
- Copy the Controller URL, SIP Username, and SIP Password from the General tab, enter these into your on-premise PBX/SBC.
- Go to the Premise Extensions tab and add the extensions from your on-premise PBX that need to be reachable from Elevate.

The Bridge License is a special Elevate configuration designed specifically for NEC PBX systems (SV9100, SV9300, SV9500). It integrates an existing NEC on-premise PBX with Elevate so that users have a unified experience across their NEC desk phone and the Elevate Desktop and Mobile apps, including external (PSTN) calling from the Elevate app via the on-premise PBX.

Contact Center calls show an orange call bar (not the standard blue Elevate bar). After answering, call details appear. Complete classification fields during or after the call, then click Close interaction to finish and return to Available.
If AI transcription and summarization are enabled, repeat callers trigger a previous-call summary in the Call Details tab, giving agents instant context. Summaries are retained for 14 days.
WebAgent is a browser-based alternative to the UC+CC desktop app. Agents manage voice calls, chat, and emails from a web browser, no software installation required.

Flow Studio is a visual drag-and-drop designer for building automated call, email, and messaging flows. Each icon on the canvas is a Business Function (BF): a building block that performs a specific action. Access it at: Contact Center Admin Portal > Configure > Omnichannels > Flow Studio (opens in a new tab).

AI Intent Routing replaces “Press 1 for Sales” phone menus. Callers speak naturally and the system routes them to the right destination. It uses the Intent Manager (where you define call reasons) and the Intent Capture Business Function (dropped into your Flow Studio IVR).
Available to: US, UK, and EU Contact Center accounts. Languages: English (US & UK), French, Spanish, Dutch, German, Italian.
- Admin defines Intents in Intent Manager, each is a call reason (e.g., “Billing Support”) with up to 10 example phrases
- The Intent Capture BF is added to the voice flow with up to 25 intents and a minimum confidence threshold (default 80%)
- Caller speaks; system scores the best matching intent
- At or above threshold → routes to matched destination; below → Low Confidence path (e.g., general queue)
- Caller’s spoken phrase and top 5 matched intents are passed to the agent before they answer
- Start with 5 to 10 high-volume call reasons; expand over time
- Write example phrases in casual, natural language, how people actually talk
- Use varied lengths; partial phrases are fine (“I need help” / “Can someone help?”)
- Always include a fallback route to a live agent, never create dead ends
- Do not coach callers (“say Billing to reach Billing”), let them speak naturally

AI Builder lets you create Knowledge Collections (searchable libraries of content) and AI Assistants that draw on those collections to help agents answer questions during live calls. Access it at: Contact Center Admin Portal > Configure > AI Applications > AI Builder.

The Evaluator is a quality assurance tool (Contact Center Elite) that lets supervisors review recorded interactions and score agents against defined criteria. Access it at: Admin Portal > Analysis > Evaluator (opens in a new tab).

Contact Center Softphone is a free license included with Contact Center Pro or Elite. It gives agents an internal extension for handling queue calls, no direct phone number (DID), no full Elevate UC seat, and no Teams Phone license required.
Includes: Internal extension, presence, internal chat, Teams Embedded integration, on-net call delivery.
Does not include: DID, personal voicemail, full Elevate UC features, or the Elevate Mobile app.

Agents cannot transfer Contact Center calls to another agent unless that agent is currently logged in as an active Contact Center agent. Agents without a DID who are not logged in as agents also cannot call an IVR directly.

- In the Contact Center Admin Portal, go to the Chat Queue settings > General Settings tab.
- Select your activation mode: Reactive Only, Reactive and/or Proactive with Invite, or Reactive and/or Proactive without Invite.
- Copy the provided chat URL for embedding on your website.
- For Proactive Chat: set the launch criteria (seconds on page before chat appears) and whether it launches minimized or maximized.
By default, chat transcripts are retained indefinitely. To set an expiration period: check Delete sessions after X days and enter a value (0 to 32767 days). Setting to 0 deletes transcripts immediately after the session ends, only the header remains accessible.
Each email queue can be configured with a time-to-live (TTL): how many days an email stays in the queue before being automatically removed if no agent handles it. Default and maximum is 365 days; minimum is 1 day.
- In the Contact Center Admin Portal, navigate to the Queues page.
- Click Options next to the email queue you want to configure.
- In the Email in queue time to live (days) field, enter a value between 1 and 365.
- Click Update to save.
You can automatically move an email to a different queue (or re-queue it at a different priority) after a set time if it hasn’t been handled:
- Check Dequeue after and set days/hours/minutes.
- Select the destination queue and priority.
- Note: if an email moves to a different queue, its TTL resets. If it stays in the same queue at a different priority, the TTL clock continues from when the email was first received.
Configure the From address agents use when replying to queued emails, and optionally add a BCC address to archive agent replies.
Scheduled Dialouts (also called power dialing) lets Contact Center admins load a list of outbound calls to be made automatically. You define who to call, when to call, how many retry attempts to make, and an expiration date if no connection is made.
This feature is designed for outbound call campaigns, follow-ups, appointment reminders, collections calls, or any situation where agents need to systematically work through a contact list.
- Log into the Contact Center Admin Portal.
- Navigate to Configure > Outreach > Scheduled Dialouts.
- Create a list, set parameters (start/stop times, retry attempts, expiration), then load and execute.
AI Agent Assist provides real-time AI support to Contact Center agents throughout every call, before, during, and after. Available for US, UK, and EU clients with Contact Center access.

AI Assistants are built using the AI Builder tool and draw only from your own uploaded business knowledge, not from the internet. Each assistant can be assigned to a specific queue, giving agents a tailored knowledge base relevant to the calls they handle.

- Create an AI Assistant using AI Builder.
- Assign the AI Assistant to the desired inbound voice queue (Configure > Queues > Options > select AI Assistant).

Schedule Manager is an optional add-on workforce management module for Contact Center. It gives supervisors and admins tools to build, maintain, and enforce agent schedules, including vacation requests, holiday calendars, shift trading, and real-time adherence monitoring.

Dynamic Notifications is a Contact Center feature that sends automated outbound campaigns, voice calls, SMS messages, or emails, to contact lists on a schedule, without requiring an inbound call to trigger them. It is distinct from Outbound Power Dialing (which is agent-driven) and is designed for proactive, automated customer outreach.
- An admin creates a notification campaign in the Contact Center admin portal, defining the contact list, message template, channel (voice/SMS/email), and send schedule.
- The system reaches out to each contact automatically at the scheduled time.
- Contacts can respond by pressing a key (voice), replying (SMS), or clicking an embedded link (SMS/email).
- An optional Connect to Agent path routes responding contacts to a live queue.
- Campaign results (delivered, failed, opted out, connected) are captured in reporting.
